Limit responses to 1 per person when using list forms in Sharepoint (not when just using forms)

Hi,

If I go to microsoft forms and create a form I have the option to select one response per person.

You can also create forms in a microsoft list but this does not appear to give you the option to limit responses to 1 per person - is there any way to do this?

I want responses to be visible to certain staff when I am not available but using forms create form in my work profile and others can't access results.

Thanks

The way I got around this limitation is by using a Power Automate Flow. Granted our situation is probably not exactly the same, but all I needed to do with my situation was delete all previous responses and only keep the latest submission from each person. Would that also work for you?

    Hello @Allison Cunnington,

Welcome to the Microsoft Q&A forum. Thank you for sharing the details regarding the limitation where only one response per user cannot be enforced when submitting forms created with Microsoft Lists. Unlike Microsoft Forms, which provides a built‑in “One response per person” option, this feature is not available in Microsoft Lists Forms. We have conducted several tests to review potential configurations and workarounds. Unfortunately, none of the current Microsoft Lists or SharePoint settings support restricting responses by user or applying custom views solely to specific groups for this purpose. At present, this behavior is by design within SharePoint’s standard capabilities.

I strongly recommend submitting your suggestion through the Microsoft Feedback Portal, which is the official channel where feature requests are reviewed by the product team and considered for future improvements. Sharing your idea there will help bring attention to this functionality and may influence future updates of SharePoint. User's image

Once again, thank you very much for sharing your detailed and thoughtful feedback. I truly appreciate you're understanding and patience as Microsoft continues to evolve the platform.

Looking forward to hearing from you!

Microsoft Forms supports limiting responses to one per person, but this control is not available for list forms in SharePoint.

In Microsoft Forms, the “One response per person” option is available when the form is restricted to people in the organization:

    • Open the form.
    • Select Settings.
    • Under Who can fill out this form, choose Only people in my organization can respond.
    • Enable One response per person to prevent multiple submissions from the same user.

This setting relies on organizational sign-in and is specific to Microsoft Forms. The provided context does not describe any equivalent “one response per person” setting for forms generated from Microsoft Lists/SharePoint, so that behavior cannot be configured there using the same built-in mechanism.

To make responses visible to certain staff when using Microsoft Forms, share the form or its results instead of moving to list forms:

    • Use Collect responses and choose Only people in my organization can respond to control who can submit.
    • Share results or collaborate on the form with specific colleagues so they can view responses when the owner is unavailable (subject to admin external sharing and collaboration settings in the Microsoft 365 admin center).
