DNS records (MX, TXT, CNAME) on Squarespace control where mail for the domain is delivered and how it is authenticated, but they do not control the connection between Outlook on Windows and Gmail. If Gmail is already working in a browser (at gmail.com) for the Squarespace-based address, then the DNS side is already correct and the issue is with the Outlook/Gmail connection.
To fix the Outlook–Gmail link, focus on the Gmail and Outlook settings:
- Verify IMAP is enabled in Gmail
- In a browser, sign in to the Gmail account at Gmail.com.
- Select Settings (gear icon) > See all settings.
- Go to the Forwarding and POP/IMAP tab.
- Under IMAP access, make sure Enable IMAP is selected.
- Select Save Changes.
- Confirm the IMAP/SMTP server settings in Outlook
In Outlook for Windows (classic), open the account properties for this Gmail account and verify:
- Incoming mail (IMAP) server:
imap.gmail.com
- Requires SSL: Yes
- Port: 993
- Outgoing mail (SMTP) server:
smtp.gmail.com
- Requires Authentication: Yes
- SSL or TLS required
- Port for SSL: 465, or Port for TLS/STARTTLS: 587
- User name: full Gmail email address
- Password: the Gmail password (or app password if using one).
- Ensure required Gmail folders are exposed via IMAP
- In Gmail settings in the browser, go to the Labels tab.
- For Inbox, Sent Mail, Trash, and All Mail, make sure Show in IMAP is selected.
- Optionally enable Show in IMAP for any other labels that should appear in Outlook.
- Refresh Outlook after changes
After updating Gmail and Outlook settings, restart Outlook and allow several minutes for the account to resync. It can take up to about 15 minutes for changes to fully take effect.
If the Squarespace redesign only changed the website template and not the domain’s mail provider or MX records, no DNS changes are needed for Outlook. If the mail host actually changed (for example, moved away from Google Workspace to another provider), then the account in Outlook would need to be re-added using the new provider’s IMAP/SMTP settings instead of Gmail’s.
