Quick Parts Document Properties Full Name and E-Mail not displaying in new files

Hello,

As the title suggests, if I open a new document and try to insert a quick part using document property, the options "Full Name" and "E-Mail" are not present.

Hi @AH,

According to your concern, it is because that those two items E-Mail and Full Name are not standard Word built-in document properties in your current template. The Document Property menu is a combination of :

  • Built-in document properties like Title, Subject, Company, etc. which are always offered in every Word document. For example, this is my property menu which is the same as your new document

  • Custom document properties which were created and only exist in some specific document (in this case your old one). Your old document was probably created from an older/corporate template or a document that carried legacy properties, so Word still shows Full Name and E-Mail properties there.

If you want those fields in the new documents, you need to save your old document as a dotx/dotm to preserve it as a template. New files created from that template will preserve the document structure and expose those properties.

These extra Document Property Content Controls were likely created in SharePoint. Once created, they remain in the document/template.

    The behavior difference between old and new documents is caused by the document’s built‑in properties, not by Quick Parts itself.

    Quick Parts → Document Property only lists properties that exist in the current document template. In older documents, custom or legacy properties such as Full Name and E‑Mail are present, so they appear in the Document Property list. In new documents created from a newer or different template, those properties are not defined, so they no longer show up as options.

    To reuse those properties in new documents, create or copy them into the template used for new files (for example, by:

    1. Opening an old document where Full Name and E‑Mail appear in Document Property.
    2. Saving that document as a template (DOTX/DOTM) or copying its custom properties into Normal.dotm or another corporate template.
    3. Creating new documents based on that template so the same properties are available and therefore appear under Quick Parts → Document Property.

    Quick Parts and AutoText entries themselves are stored as building blocks (for example in Normal.dotm), so once the underlying document properties are present in the template, they will be available for insertion in all new documents created from that template.
