I am unable to view the cases created by other admin users under ediscovery on MS Purview. What could be the possible reason to this and how should I resolve this? I have Compliance Admin and Globar Reader permissions assigned, do I require any other role to view the case list?

Hi Vaishnavi Gupta,

it sounds like you can’t see other admins’ eDiscovery cases because having only Compliance Admin and Global Reader roles doesn’t automatically give you visibility into every eDiscovery case. In Microsoft Purview (the compliance portal), cases are secured at two levels:

  1. Role‐based access in the Compliance Center
  2. Case‐level membership

Here’s what to check and how to fix it:

  1. Verify you’re in an eDiscovery role group
    • Go to the Microsoft Purview compliance portal (https://compliance.microsoft.com)
    • In the left pane, select Permissions
    • Under “eDiscovery” you’ll see role groups like eDiscovery Manager and eDiscovery Administrator
    • Make sure your user is added to at least the eDiscovery Manager role group • eDiscovery Managers are automatically added to all cases and can view/create/search/export content.
  2. Confirm you’re a member of each case
    • Under Solutions > eDiscovery > Advanced (or Premium), open a case
    • Click on Settings > Permissions
    • Ensure your account is listed under “Case members.” If not, ask the case owner to add you
  3. Refresh and re-load
    • After your role group membership is updated, sign out and back in (or clear your browser cache).
    • Head back to eDiscovery > Advanced > Cases and you should now see all cases you’re permitted to view.

Hope that helps you get visibility into all your organization’s cases!

To see and open eDiscovery cases created by other admins in Microsoft Purview, membership in the correct eDiscovery role group is required. Compliance Administrator and Global Reader alone are not sufficient.

Key points from the permissions model:

    1. Role requirement to view cases
      • To view the list of eDiscovery cases at all, at least one of the eDiscovery-related RBAC roles (for example, Case Management, Review, etc.) must be assigned via a role group.
      • For users who are not eDiscovery Administrators, the cases shown are limited to those where the user is a member of the case.
    2. Difference between eDiscovery Manager and eDiscovery Administrator
      • eDiscovery Manager (role group):
        • Can create and manage eDiscovery cases, run searches, place holds, and access case data.
        • Can only access and manage cases they created or cases where they are explicitly added as a member.
      • eDiscovery Administrator:
        • Is a member of the eDiscovery Manager role group with additional permissions.
        • Can view all eDiscovery cases in the organization.
        • Can manage any eDiscovery case after adding themselves as a member of the case.
        • Can access all cases listed on the eDiscovery cases page in the Purview portal.
    3. Why cases created by other admins are not visible
      • With only Compliance Administrator and Global Reader, there is no guarantee of membership in the eDiscovery Manager role group or assignment of the Case Management / Review roles that control case visibility.
      • Even if some eDiscovery roles are present, without being an eDiscovery Administrator or a member of each specific case, cases created by other admins will not appear.
    4. How to resolve
      • Ensure assignment to the eDiscovery Manager role group in the Microsoft Purview portal so that eDiscovery roles (such as Case Management, Compliance Search, Hold, Preview, Export, Review) are granted.
      • If the requirement is to see all eDiscovery cases (not just those where added as a member), an admin with sufficient rights must:
        1. Assign the Case Management role to the account (if not already present via a role group).
        2. Use that to make the account an eDiscovery Administrator (per the documented process in “Assign eDiscovery permissions in the Microsoft Purview portal”).
      • After becoming an eDiscovery Administrator:
        • All eDiscovery cases in the organization will be visible on the eDiscovery cases page.
        • The account can add itself as a member to any case to manage it.

In summary, the inability to see cases created by other admins is expected with only Compliance Administrator and Global Reader. Membership in the eDiscovery Manager role group and, if organization-wide visibility is required, elevation to eDiscovery Administrator is needed.
