Microsoft 365 features that help users manage their subscriptions, account settings, and billing information.
Several options can help lower Microsoft 365 costs, depending on how it is used.
- Switch to a lower-cost consumer plan
For personal or family use, compare the available subscriptions and choose a cheaper one with fewer users or features:- Microsoft 365 Family – share with up to 5 additional people.
- Microsoft 365 Personal – for one individual.
- OneDrive Standalone – for one individual who mainly needs cloud storage.
- Use Microsoft 365 Basic if only storage and email are needed
If full desktop apps are not required, Microsoft 365 Basic is a lower-cost subscription for one person. It includes:- 100 GB of cloud storage across Outlook and OneDrive.
- Ad-free Outlook email.
- Access to support experts.
- OneDrive advanced security features.
- Move from subscription to one-time purchase (reduced functionality)
If always-up-to-date apps and cloud services are not required, consider a one-time purchase instead of a subscription:- Office Home & Student 2021
- Office Home & Business 2021
- Office Professional 2021
- Buy only specific apps instead of a full suite
If only Word, Excel, or PowerPoint is needed, standalone versions can be purchased for Mac or PC from the Microsoft Store instead of paying for the full Microsoft 365 suite. - For business use: choose a smaller or simpler plan
For organizations, review and compare:- Microsoft 365 small and midsized business plans (up to 300 users).
- Microsoft 365 enterprise plans.
- Use free web apps where possible
If only basic editing is needed, the free web versions of Word, Excel, and PowerPoint can reduce the need for paid licenses, especially for light or occasional users. - For Copilot and extensibility: avoid add-ons if not needed
If AI features are not required, avoid or remove Microsoft 365 Copilot add-on licenses, which are an extra cost on top of an existing Microsoft 365 subscription. Relying only on what is already included in the base subscription (or not using Copilot at all) reduces total spend.
For any change, review current usage (how many people actually need full desktop apps, advanced services, or AI features) and then downgrade to the lowest plan and user count that still covers those needs.
