Hi, I'm Bernard. I'm happy to help!

Just to confirm, did it work fine before? Have you tried using the recorder app and checking if the microphone is working?

While waiting, and if it's working fine before, kindly follow the steps below:

    Method 1. Run Audio troubleshooter:

Press the Windows Key + R, then type in:

    msdt.exe /id AudioPlaybackDiagnostic

Then hit OK and follow the prompt to run Audio Troubleshooter.

Method 2. Roll back the Microphone driver:

-Press the Windows key + X

    -Go to Device Manager

-Expand the Audio inputs and Outputs

    -Look for your Microphone

    -Right-click and click Update Driver

-Select Browse my computer for drivers

-Click Let me pick from a list of available drivers on my computer

-Choose an old driver or another driver name, then select it and hit next until it installs.

    -Restart the PC and check.

Method 3. Roll back Audio driver:

-Press the Windows key + X

    -Go to Device Manager

-Expand the Sound, video and game controller

-Look for Realtek (R) Audio or High Definition audio

    -Right-click and click Update Driver

-Select Browse my computer for drivers

-Click Let me pick from a list of available drivers on my computer

-Choose an old driver or another driver name, then select it and hit next until it installs.

    -Restart the PC and check.

Note: If the issue persists, please download and install a Microphone and Audio driver from your manufacturer's website.

Note: This is a public forum. I may respond shortly, but I apologize in advance for any delays. I am simply a fellow user trying to provide helpful insights and information.

Follow these steps in order to activate and troubleshoot the microphone for dictation on Windows 11 and in Microsoft 365 apps:

    1. Check physical connection and power
      • If using an external mic or headset, make sure it is firmly plugged in.
      • If the device has a hardware mute or power switch, ensure it is turned on.
    2. Verify Windows detects the microphone
      • Right‑click the speaker icon in the taskbar and open Sound settings.
      • Under Input, confirm that at least one microphone is listed and selected.
      • Speak into the mic and check whether the input level bar moves.
    3. Enable and test the microphone in Control Panel
      • Open Control PanelSoundRecording tab.
      • Ensure there is at least one enabled device with a green checkmark.
      • If the desired mic is disabled, right‑click it and select Enable.
      • Speak loudly and confirm green bars appear next to the active device.
      • Disable any other recording devices that are picking up your voice if needed.
    4. Check app and privacy access (Windows)
      • Open SettingsPrivacy & securityMicrophone.
      • Ensure microphone access is allowed for the device and for the apps used for dictation (Word, OneNote, PowerPoint, browser, etc.).
    5. If dictation says the microphone isn’t working
      • When seeing messages like “There is a problem with your microphone” or “We can’t detect your microphone” in Word, PowerPoint, OneNote, or Office on the web:
        1. Make sure the microphone is plugged in.
        2. Test the microphone to confirm it works.
        3. Check microphone settings in Control Panel as above.
        4. On Windows 10/11 devices, also follow the steps in How to set up and test microphones in Windows.
    6. If dictation can’t hear anything or no text appears
      • Confirm the microphone is not muted (on the device and in Windows).
      • Adjust the input level of the microphone in Control Panel → Sound → Recording → [Your Mic] → Properties → Levels.
      • Move to a quieter location to reduce background noise.
      • If using a built‑in mic, try again with a wired or USB headset or external microphone.
    7. If Dictate button is missing or grayed out in Office apps
      • Ensure sign‑in with an active Microsoft 365 subscription; Dictate is not available in standalone Office 2016/2019 without Microsoft 365.
      • Confirm Windows version is Windows 10 or later.
      • Make sure the document or note is not in a Read‑Only state.
    8. If using Office on the web (Word/OneNote/PowerPoint in a browser)
      • If seeing “We don’t have access to your microphone”:
        1. Close other apps or tabs that might be using the microphone.
        2. Refresh the page, select Dictate, and allow the browser to access the microphone when prompted.
        3. In the browser settings, search for microphone and remove Office/PowerPoint/OneDrive/Word/OneNote from any Block list, then refresh and try again.
    9. If OneNote Dictate shows no red circle and no text
      • Go to a quiet room and try again in Immersive Reader → Dictate.
      • Use a dedicated microphone or headset instead of the built‑in mic.
      • Re‑check Windows Recording devices in the Sound Control Panel and ensure only the intended mic is enabled and responding.

If, after these steps, Windows still does not show any active microphone input (no device with green bars in the Recording tab), the issue is likely with the microphone hardware or its driver and may require vendor‑specific driver updates or hardware service.
