On the Learning Teams meeting invite (VLS integration) attendees are able to present/user Microsoft teams apps in the session and cannot be restricted

Hi All,

We have completed the MS Virtual Learning Service configuration with SuccessFactors (Learning Management) and have ensure to follow each detail that Microsoft has provided as per the implementation guide - 2H2023-VLS Configuration for Microsoft Teams.pdf

But now, when we setup a learning Session on SuccessFactors (Learning Management) to be hosted on Teams using VLS integration, the meeting invite is sent and gets displayed as an invite on the registered "Attendees" calendar.

But when an attendee joins the session, like the instructor/presenter any attendee have access to present (cannot be restricted) or attendee can use the apps available on MS teams. Basically, my question is how attendees can be restricted from presenting unless they are given access in the meeting by the organizer or how restrict them in using the MS teams apps like Polls, whiteboard, forms etc. I have checked once the meeting invite is sent and is reflected on teams' calendar, there is no restriction options for the attendees.

Kindly advise.

According to your case description, you want to restrict the rights of attendees in Microsoft Teams meetings to make presentations or use applications (such as polls, whiteboards, forms, etc.).

Please follow the steps below to set the policy and assign it to attendees:

Restrict attendees from making presentations. For details, please refer to the official documentation.

Teams Admin Center: Sign in to the Microsoft Teams Admin Center with an administrator account.
Navigate to the meeting policy: In the left navigation bar, select Meeting > Meeting Policies. Edit the policy or create a new policy.
Set presentation permissions: In the Content Sharing section, find the Who can present option. You can select one of the following settings:
- Only organizers and co-organizers: Only meeting organizers and co-organizers can make presentations.
- People in my organization and guests: Users and guests in the organization can make presentations.
- Everyone: All attendees can make presentations (default setting).

Thank you for the reply. But my question is the teams meeting is hosted by VLS (Virtual Learning Service configuration with SuccessFactors). These meetings are not usual meetings that we create on Microsoft team's app.

I do not get "meeting options" enabled in order to make changes to these meetings unlike any other MS teams meetings.

The steps that are explained in your answer is generic across all teams meetings and should be executed by an Administrator. To further clarify I am not a MS teams admin and my question is just to restrict attendees who join the meetings hosted on MS teams generated by VLS integration.

If I am following the steps explained in your answer this is going to impact all team's meetings and not just the VLS.

Could you please tell me, after double clicking to join a meeting, the meeting initiator also cannot find "meeting options" to adjust the settings?

For restricting attendee permissions in Teams meetings hosted by VLS:

Configure VLS settings: In SuccessFactors Learning, please ensure that VLS settings are configured. Following the VLS configuration guide, you can set specific permissions and restrictions.

Meeting policies: In the Microsoft Teams admin center, you can create a new meeting policy to restrict attendees from making presentations or using applications. Then assign this policy individually to attendees of MS Teams-hosted meetings generated by the VLS integration that you wish to restrict.

If this doesn't satisfy you, I am afraid to inform you that Teams currently does not have a separate functional component to control this. Otherwise, you can try to contact the phone support to see if there is a better solution. Thank you for your understanding and support.

Hi @Anonymous - The above screenshot that you have provided is only available for Teams admins. I am not an MS Team's admin so I don't have access to that page.

Additionally, I tried to follow bits and pieces to the steps that you have provided above. I am able to restrict attendees as Organizer of the meeting only after launching the Team's meeting. See screenshots below:

The meeting invite on outlook does not have the "Meeting options"

When the same invite is opened on MS teams view, we do not have the "Meeting options" there as well!

But only when the meeting is started the organizer can make those restricts by going into the "Meeting Options" and not before that:

My Question is why is this meeting options not available to be edited before the meeting is launched ? If you would like to jump on a call, happy to do so.

Hi @Joe Russo - The only way we are able to achieve this is, when the primary instructor joins the meeting, in Team on the meeting screen they will have to open settings. In there they can restrict who can share, who can comment etc.

To be honest this is not an ideal solution, but Microsoft is not giving any alternatives to these integrations. It seems very immature and not a thoughtful design.
