Building, integrating, or customizing apps and workflows within Microsoft Teams using developer tools and APIs
Dear Astra,
Thanks for reaching out to Microsoft Q&A forum support.
From your message, I understand that you would like to attach a PDF agenda to an existing Microsoft Teams meeting invite without sending the invitation again. You’ve already sent the invite twice and wish to avoid notifying participants a third time.
To clarify, are you working within Outlook (desktop or web) or directly through the Teams app?
Here’s how to attach a document without sending the invite again:
Via Outlook (Desktop or Web):
- Open your Outlook Calendar.
- Double-click to open the meeting invite.
- Drag and drop the PDF into the body of the invite or use the Insert > Attach File option.
- Do not click "Send". Instead, simply close the invite window and choose "Save" when prompted. Important: In some versions of Outlook, any edit followed by clicking "Send" will resend the invite. Using Save & Close avoids this.
Via Microsoft Teams:
- Open the meeting from the Teams Calendar.
- Go to the “Files” tab within the meeting chat (if the meeting has been created and has a chat thread).
- Click “Upload” and select your PDF agenda.
This method stores the file in the meeting’s associated SharePoint folder and is visible to all attendees—no resend needed.
Let us know which method you’re using, and we’ll guide you more precisely.
Best regards,
