How does manager approve swap request in Shifts (within Teams)

We recently migrated from Staffhub to Shifts within Teams.  We recreated our schedules and thought everything was fine.....except that firstline workers request subs and swaps, but the request seems to go nowhere.  i am the team owner and manager, but I cannot 'see' these requests either on the desktop or mobile app.

Here's what I've tried:

Adding and removing and re-adding myself to a given 'group.'

Updating all my notification settings, both within Teams and on my various devices, to be as totally open as possible.

Had staff create new requests for swaps --still got zero notifications, and their request are listed as 'pending' manager action.

Hi Deborah Buffalin,

Thanks for your reply,  may I know if the team member was creating the swap request directly from the Shift APP of Teams? Please kindly confirm this with your users firstly.

Moreover, based on my test, you need to be the owner of this team to create and manage the swap requests for team members. If you are the owner of this team, please also login to the web-based Teams app to see if there is the same issue in there.

In addition, if you still cannot see the swap requests, try assign the owner permission to another team member as following picture and then let the team member re-create a new swap request and let the new owner check if he can see the swap requests.

Feel free to post back if you need further assistance after try above methods, I'll glad to provide further suggestions.

Best regards,

Jennifer

Hi Jennifer, I appreciate the detailed response!  However, we actually had no problem with this process in Staffhub, and the problem we have now is that I (the sole 'owner' --and, thus, presumably the 'manager' of the team in Shifts) cannot 'see' the requests that await my approval --nor am I getting notifications of any such requests, even though I can clearly see on my staff's mobile devices that they've offered and accepted subs/swaps which now await my approval.  When I open 'Requests' (on my mobile app or on the web/workstation-based instance), all I see is "No requests currently" under "IN PROGRESS" -and nothing under "DONE" (where I used to see everything I had approved in the past in Staffhub).

If there is some specific way that I can make myself the 'manager' of the team (for the purpose of approving requests in 'Shifts') I'd love to know it.  The term 'manager' doesn't exist elsewhere in Teams, and is not referred to in any of the documentation I've seen on Shifts --other than that they are the folks who receive and can approve or deny these requests.

    Hi Deborah Buffalin,

Thanks for post your question in our forum. From your description, I just tested this on my side and found the process to swap request in Shifts of Microsoft Teams is similar to the process in the Staffhub.

Specifically, it will go through three steps: (1) Team member A create and send Swap shift request in Shifts of Teams to another team member B. (2) Swap shift request send to Member B. (3) after Member B accept the Swap request in Shifts, the Swap request will finally send to the team manager.

As the team manager, you can find the request within Shifts of Teams by clicking the “Requests” button (see below picture1) and approve the Swap request (see below picture 2):

Hope above information helps. If you still cannot see the Swap request in Shifts of Teams, please make sure team member A is creating the requests from the Shifts app in Microsoft Teams and make sure the member B has accepted member A's swap request. Please feel free to let me know if you need further assistance.

    Best regards,

    Jennifer
