Face to face and virtual attendance with Teams

We have ongoing training events which are both organised in advance by the training team (eg. induction) and also staff can request to have specific sessions organised for their professional development. These events can be face to face, virtual or a combination of both.

I am trying to find the best way to have these events setup so that we are able to effectively do attendance reporting both for anyone who turns up in person or dials in virtually. At the moment we have the events in our Outlook calendar, and then created again in our learning management system. I think there should be a way that we could have these events only in Teams to save us needing to have them across two platforms.

The biggest challenge is how to be able to do attendance for the face to face attendees and combine this with the virtual ones? We can obviously do paper based attendance forms but then this needs to be manually combined with the attendee report from Teams. Is there a better way?

I thought that perhaps Microsoft Bookings could be a solution but I'm not sure how it handles attendance in terms of recording if someone was present or not at the event. Anyway looking forward to be pointed in the right direction on how this can be done in a more streamlined way. Thank you

Hi Tommy, no sorry what I mean is how to mark attendance or get an attendance report for face to face events, since for anyone who joins online their access will be logged in the attendance report (when they joined, left etc), but I need a way to also log the attendance of those who turn up physically in person if the event is face to face only for example. It is like Teams for Education feature where a teacher can mark the role of their students, except it would be the meeting organiser taking attendance of which staff turned up on the day. How can something similar be achieved in Teams for Business?

    Dear MicrosofterPB,

According "The only other solution I can think of is to use a custom built Power App and connect it to Outlook and potentially some Lists." We are sorry to tell you that because of permission difference, Power App is out of our support scope. However, we do have a dedicated forum that has abundant experience with PowerApps, please post this question in Power Apps Community - Power Platform Community (microsoft.com) to confirm with them whether its possible.

    Sincerely,

    Hi Tommy,

Thank you for that. In that case what is the best way to handle attendance for only face to face/in-person events? I understand that for virtual/online events an attendance report can be downloaded in Teams, but is there a tool or solution for marking face to face attendance? We need to report on monthly attendance of our training events so it would be ideal to have a way to be able to export this data out within a date range.

I was able to find the following tool for classroom attendance which is similar functionality, but I'm not quite sure how to utilise this since we don't have Teams for Education: Taking Class Attendance on Teams for Education - Microsoft Tech Community

The only other solution I can think of is to use a custom built Power App and connect it to Outlook and potentially some Lists.

    Dear MicrosofterPB,

    Welcome to Microsoft Community.

According to your description, seems you wanna to do attendance for the face to face attendees and combine this with virtual one. Regarding this point, we are sorry to tell you this is infeasible in either Teams nor Microsoft Booking. But, set-up a virtual attendance talk with other attendances by face to face is a great idea, we kindly suggest you leave your precious and brilliant idea on our dedicated feedback channel: Microsoft Teams · Community if your idea get many followers and comments and then experts who are in our developer team might be available to build this function up for you.

    Sincerely,
