Share my planned To-Dos in Tasks by planner and To Do (teams)

Hello

At the moment I'm using the To Do app from Outlook to follow up my e-mails.

I am flagging the e-mails and giving them a due date to follow up (they pop up in the microsoft teams app To Do).

I would like to share those To-Dos also in Microsoft teams in a shared group, so that everyone can access and also you have there a better view (snapshot, Board, Charts and Schedule).

Is that possible?

thank you!

    Hello

I’m Adeyemi and I’d be happy to help you with your question.

Yes, it is possible to share your To-Dos in Microsoft Teams. Here's how you can do it:

    1. Use the Tasks App: The Tasks app in Microsoft Teams brings together your individual tasks from To Do and Outlook with your team tasks from Planner. You can add the Tasks app to Teams by typing 'Tasks' in the search bar and then selecting the tile that says 'Tasks by Planner and To Do'.
    2. My Tasks: This section shows tasks that you've created or that have been assigned to you. It reflects most of what you see in the To Do app.
    3. Shared Plans: This section shows plans that have been added to channels in Teams. You can choose from a list of teams and channels, and find the plan you're looking for
    4. Create a Task from a Message: To create a Microsoft To Do task from a Microsoft Teams message, hover over any message, click the context menu (three-dotted) button on the message on a chat or team (channel), select the "More actions" and click the Create Task option
    5. Share a To Do List: To share a To Do list with friends, family, or colleagues, open Microsoft To Do on Windows 10, click the New list option, confirm the name of the list you want to share and press Enter, right-click the list and select the Share list option

Remember, you can also turn Teams messages into tasks. Simply hover over the message you want to turn into a task and click on the three dots. Then select More options and click on Create task https://support.microsoft.com/office/e32639f3-2e07-4b62-9a8c-fd706c12c070

    I hope this helps

    Hi Adeyemi

    thank you for the reply.

I have the "Tasks by Planner and to Do" app already, and can see my personal Tasks / planned via Flag. What I can't do is to "move" my tasks to the shared channel. Your guide is lacking in description on how I can do that.

I created the shared plan and it's added in Teams. I just need to have my tasks created in the app To Do also in the shared channel!

    Thank you.

    Hi Adeyemi

    thank you for helping out.

I found the way to have my mails in tasks (I noticed that if you click on a flagged mail and select move to tasks, it will also have the mail attached and not only copy the content of the message, this FYI it could be interesting to know).

My only problem is now that I am unable to see the option of having my tasks in the shared channel in Teams. This was my goal to be able to share them with my team and have a better view for the follow up! do you know how to help in terms of that???

    many thanks.

    br Immanuel

    1. Drag and Drop to Create a Task: In the desktop version of Outlook, you can create a task from an email by dragging and dropping the email to the Tasks icon. Select the email in your inbox, drag it to the “Tasks” tab, and release. You’ll see the new task box appear with the subject of the email as the task name and the message within the body of the task.
    2. Shortcut to Create a Task: Unfortunately, there isn't a direct keyboard shortcut to create a task from an email in Outlook. However, you can use Quick Steps to create a task from an email. Go to the “Home” tab in Outlook and click the “More” arrow at the bottom of the Quick Steps box in that section of the ribbon.
    3. Link to Original Email: When you create a task from an email in Outlook, it does not include a link back to the original email. The contents of the message, except attachments, are copied to the body of a new task. A task created this way is independent of the message. If the original message is deleted, the task is still available, including the copied contents of the message.
    4. Limitations in Tasks: There are some limitations in Outlook Tasks, but these are mostly related to technical aspects such as API limits. As for tasks being automatically deleted after some time, tasks in Outlook do not get deleted automatically unless you delete them yourself

    Hi Adeyemi

    thank you for you reply

I could add the "Tasks by Planner and To Do" app in Teams, and also create a shared plan with my team. The problem is that I can see nothing under the section "Tasks" but I see only Tasks related to e-mails under the section "Planned" or "Flagged Emails". This is also how I create tasks in to be seen in my To Do App in Microsoft. My question is to share automatically my private tasks in the To-Do Microsoft app (using flags with emails for follow up).

And then, what I would like to do is to be able to share those tasks with the "Shared plan".

Maybe is important to say that I am working with a shared e-mail (group email) and in order to create tasks I have to forward (or copy) e-mails to my private e-mail address and then create tasks from there, using the Flag method (or follow up).

Do you think is possible what I am trying to do? and how? Maybe do you have another suggestion?

Please let me know if you need clarification.

    Thank you in advance.

    Best Regards.

    Immanuel
