Managing check in and check out times on SHIFTS app in TEAMS

I have just downloaded the SHIFTS app in TEAMS with the hope that it will make it easier for me to manage my team, when they start their shifts, take breaks, finish their shifts.

I can see that I can export the time card to see clock in and out times but is there a way to quickly and easily see which team members have checked in/checked out for their shifts during the day? I am trying to avoid needing to export a file every time I want to check if someone is on time for work or not.

The only articles I can find about this are from 2020 and they say this option is not available. Surely this should be a really obvious requirement? Hoping this has been added since then and it is just not obvious. Thanks!

    • Use the Shifts dashboard in TEAMS. The Shifts dashboard is a feature that lets you see an overview of your team's shifts, requests, open shifts, and time clock reports in one place. You can access the Shifts dashboard by clicking on More options > Manage team > Analytics > Shifts dashboard. From here, you can see the number of shifts assigned, completed, swapped, or offered by your team members, as well as the number of requests for time off, sick leave, or overtime. You can also see the total hours worked, overtime hours, and breaks taken by your team members. You can filter the data by date range, group, or individual.

    Hi,

I want to access the Shifts dashboard as mentioned. I'm an owner of a group. I can access Manage team > Analytics, but I do not see Shifts dashboard as an option. Please let me know what I need to enable Shifts dashboard.

    Thanks.

    Hi JessyRoo1,

Thanks for contacting us, I'm sorry for the inconvenience this may cause you.

I understand that you have just downloaded the SHIFTS app in TEAMS and you want to quickly and easily see which team members have checked in/checked out for their shifts during the day.

There is no direct or simple way to see who is currently clocked in or out with SHIFTS app in TEAMS. The only way to see the time clock activity of your team members is to export the time card report and view it in Excel. However, this can be tedious and time-consuming, especially if you have a large team or frequent shifts.

However, there are some possible workarounds that you can try to make it easier for you to monitor your team's attendance and performance. Here are some of them:

    • Use the @mention feature in TEAMS chat or channel. The @mention feature is a way to notify someone or a group of people in a chat or channel conversation. You can use this feature to remind your team members to check in or out of their shifts, or to ask them to confirm their attendance or availability. For example, you can type "@team Please check in when you start your shift" or "@Sola Are you available for a shift swap today?" in a chat or channel message. The person or group you mention will receive a notification and a badge on their chat or channel icon.
    • Use the Power Automate app in TEAMS. The Power Automate app is a tool that lets you create workflows and automate tasks in TEAMS and other Microsoft apps. You can use this app to create flows that trigger actions based on certain events or conditions. For example, you can create a flow that sends you an email or a notification when someone checks in or out of their shift, or a flow that updates a spreadsheet with the time clock data of your team members. To use the Power Automate app in TEAMS, follow the steps in this article https://support.microsoft.com/en-us/office/get-started-in-shifts-5f3e30d8-1821-4904-be26-c3cd25a497d6.

I hope this helps you find a way to manage check in and check out times on SHIFTS app in TEAMS more easily and efficiently.

    Regards, Sola.

I'm sorry about that, the link worked from my end https://support.microsoft.com/en-us/office/get-started-in-shifts-5f3e30d8-1821-4904-be26-c3cd25a497d6

You can download and install the Power Automate app for desktop from the official website https://powerautomate.microsoft.com/en-us/. This app allows you to create and run desktop flows that can automate web and desktop applications on your Windows machine.

To set up an automation to tell you when someone clocks in and out, you will need to use a trigger and an action in your desktop flow. A trigger is an event that starts your flow, such as a scheduled time, a button click, or a keyboard shortcut. An action is a task that your flow performs, such as sending an email, opening an application, or logging data.

For example, you can use the **Schedule** trigger to run your flow at a specific time interval, such as every hour or every day. Then, you can use the **Send an email (V2)** action to send yourself an email with the information about who clocked in and out during that time period. You will need to configure the action with your email address, subject line, and body text. You can also use dynamic content from previous actions or steps in your flow to customize your email.

You can find more information and tutorials on how to create and run desktop flows on the Power Automate website https://make.powerautomate.com/. I hope this helps you set up your automation. If you have any other questions, please feel free to ask me.
