Questions about Copilot

Hey,

Our client has some questions regarding Copilot:

  1. When using Copilot's transcribe feature to create a summary of a Teams meeting, who has access to view the summary?
    • Is it only available to those with a Copilot license?
    • Or is it visible only to the person who activated the transcribe feature?
  2. Is it possible to restrict who can access the meeting summary?
  3. Are the meeting’s video, image, or audio files stored somewhere?
    • If so, who has access to these files?

Thank you in advance for your answers!

Hello Olmo Kosunen**,**

Thank you for your follow-up question.

Regarding your inquiry about restricting or setting a default so that only the meeting organizer can view the meeting's files:

Currently, Microsoft 365 provides some administrative controls to manage file access permissions, but there isn’t a direct option in the Microsoft Admin Center to enforce a default setting where only the meeting organizer can view files (e.g., video, image, or audio files) associated with a Teams meeting.

It seems that the Microsoft Teams admin center does not provide a direct option to restrict meeting files so that only the meeting organizer can view them.

However, there are several ways to manage content sharing and access permissions in Teams meetings:

  • You can configure admin settings for screen sharing mode, PowerPoint sharing, whiteboard, and shared notes. These settings can be managed in the Teams admin center under Meetings > Meeting policies > Content sharing.

While this specific feature isn’t available at the moment, Microsoft continuously enhances its offerings based on user feedback. I recommend submitting your request via the Microsoft Feedback Portal for visibility and consideration by the product team.

Here is the link below on how you can operate this feedback:

For your information, our community team and the Microsoft product development team are independent.

Therefore, for feature suggestion or by design query, the user should send feedback on their side to the Microsoft product team.

Once the user submits feedback through the above-mentioned way, it is sent directly to Microsoft and directed to the relevant product teams who can review it, once it receives upvotes and attention from other users facing the same scenario. Going forward, the development team will put it on the Microsoft 365 Roadmap | Microsoft 365.

And if the provided information is helpful and meets your requirement, you can also give Vote on that in order to make this thread a top content and help any other community users who might be facing a similar scenario to easily find this thread/post.

At this point, I would like to thank you very much for your valuable time and kind cooperation.

Have a great day ahead!

Sincerely

    Hello Olmo Kosunen**,**

Good day! Thank you for reaching out to Microsoft community.

As per your description and my understanding, you have questions about Microsoft 365 Copilot's transcription and summary capabilities in Teams meetings. Specifically, you are seeking clarification on:

    • Who can view the generated meeting summaries.
    • Whether access to these summaries is restricted to Copilot license holders or the user who initiated the transcription.
    • Options to restrict access to meeting summaries.
    • The storage and accessibility of video, image, or audio files related to the meeting.

Question 1: Access to Meeting Summary:

    • When using Copilot's transcribe feature to create a summary of a Teams meeting, the summary is accessible to those who have been granted access by the meeting organizer. By default, the setting is "Everyone," meaning anyone with the meeting link or who was invited to the meeting can view the summary.
    • However, the meeting organizer can change this setting to restrict access to specific individuals or only to the organizers.
    • The meeting summary feature is available to users who have a Copilot for Microsoft 365 license. This functionality is enabled by default for these users.
    • Participants without a Copilot license can still view the summary if it is shared with them.
    • However, using Copilot's transcribe and summarization features to create the summary requires a Copilot license.
    • The summary is not limited to just the person who activated the transcribe feature. It is accessible based on the permissions set by the meeting organizer.

Question 2: Restricting Access to the Meeting Summary:

    • Yes, it is possible to restrict who can access the meeting summary. The meeting organizer can select from three options: "Everyone," "Organizers and co-organizers," or "Specific people". This allows for granular control over who can view the summary.

Question 3: Storage of Meeting’s Video, Image, or Audio Files:

    • Meeting video, image, and audio files are stored securely within Microsoft 365. These files are accessible to individuals who have been granted access by the meeting organizer. The default setting allows everyone with the meeting link or who was invited to the meeting to access these files, but this can be restricted by the organizer.
      • For Video and Audio Files, these are stored in the OneDrive or SharePoint storage of the meeting organizer, depending on the platform settings.
      • For Images or Files Shared in Chat, these are stored in the corresponding Teams Chat Files folder in OneDrive or SharePoint.

However, there is another specific channel for your mentioned concern where you will get some possible information for certain specific resources and platform from our related community members.

I understand your concern but since your problem is related to Copilot, I would also like to suggest you post your concern in the related community i.e., Ask a question - **** Microsoft Copilot for Microsoft 365 Development - Microsoft Q&A to get the detailed help from the experts.

I hope this helps. Let me know if you have any further questions or concerns.

Thanks for choosing the MS community and have a great day ahead!!

    Sincerely

    One more question:

Can the organization's administrator restrict/set as a default that only the meeting organizer can view the aforementioned files?

I cannot see that type of option in the MS Admin center.
