Creating restricted channels within a team for confidential discussions or projects

Option 1: Create a Team for Each Project
The best practice is to create a separate Microsoft Team for each project. When a new Team is created:
- A dedicated Planner Plan is automatically created and linked to that Team.
- A dedicated OneNote notebook is also generated and linked to that Team.
This setup keeps project files, plans, and notes organized and tied specifically to each project, simplifying management and reducing the risk of cross-project confusion.
Option 2: Use One Team for All Projects
If you prefer to use a single Team (e.g., "Project Management Office") for all projects, follow these steps:
- Create Separate Plans in Planner Web App:
- Go to the Planner web app (https://tasks.office.com).
- Create a new plan for each project.
- When creating each plan, choose "Use an existing Microsoft 365 Group" and select your Team ("Project Management Office") as the group.
- Name each plan the same as its corresponding Team channel for clarity (e.g., Channel: "Project Alpha," Plan: "Project Alpha").
- Link Plans to Your Team’s Channels:
- Open the relevant Team channel in Microsoft Teams.
- Click the "+" icon in the tabs bar.
- Select Planner (or Tasks by Planner and To Do).
- Choose the appropriate plan from the dropdown menu or link the one you created.
Repeat this for each channel to link the respective plan.
- Add OneNote Notebooks to Channels:
- Open the Team channel where you want to add the OneNote notebook.
- Click the "+" icon in the tabs bar.
- Select OneNote from the list.
- Choose an existing notebook or create a new one for that specific project.
This allows you to maintain project-specific notes directly within the corresponding channel.
Key Considerations:
- Planner Limitations in Private Channels: Planner integration is not supported in private channels. If you use private channels for your projects, consider using shared channels or standard channels instead.
- Corporate-Level Tracking: Utilize Microsoft Loop to integrate tasks and updates across projects, enabling leadership to get a bird's-eye view of progress.
