In MS 365, what is the best way to set up a Team for a PMO used to manage multiple projects and leverage Microsoft Planner Premium (License 3)?

Goal: Leverage MS Teams, Planner, OneNote, and Loop to effectively manage and track multiple projects and their affiliated tasks on both the project and corporate levels.

As I want company leadership to be able to track progress on multiple active projects under their PMO, I started out creating a private Microsoft Team ("Project Management Office") and adding each project as a channel. Next, I tried to leverage Planner to create one plan per channel, within each of the "Project Management Office" channels, but there seem to be significant limitations with private Teams and their channels when I attempt to use Planner. I intended to create a separate project plan in Planner for each Team Channel (aka project), and this is not possible. Any suggestions would be greatly appreciated!

    • A dedicated Planner Plan is automatically created and linked to that Team.
    • A dedicated OneNote notebook is also generated and linked to that Team.

    This setup keeps project files, plans, and notes organized and tied specifically to each project, simplifying management and reducing the risk of cross-project confusion.


    Option 2: Use One Team for All Projects

    If you prefer to use a single Team (e.g., "Project Management Office") for all projects, follow these steps:

    1. Create Separate Plans in Planner Web App:
      • Go to the Planner web app (https://tasks.office.com).
      • Create a new plan for each project.
      • When creating each plan, choose "Use an existing Microsoft 365 Group" and select your Team ("Project Management Office") as the group.
      • Name each plan the same as its corresponding Team channel for clarity (e.g., Channel: "Project Alpha," Plan: "Project Alpha").

    1. Link Plans to Your Team’s Channels:
      • Open the relevant Team channel in Microsoft Teams.
      • Click the "+" icon in the tabs bar.
      • Select Planner (or Tasks by Planner and To Do).
      • Choose the appropriate plan from the dropdown menu or link the one you created.

    Repeat this for each channel to link the respective plan.

    1. Add OneNote Notebooks to Channels:
      • Open the Team channel where you want to add the OneNote notebook.
      • Click the "+" icon in the tabs bar.
      • Select OneNote from the list.

    Create a Loop Component from a Teams Post:

    • In any Teams channel post or chat, you can create a Loop component such as a task list, table, or checklist to share updates or track progress collaboratively.
    • Once created, the Loop component is automatically saved in the Team's associated SharePoint site within the Documents library, under the channel folder.
    • To locate specific Loop components, navigate to the Files tab of the relevant channel.

    Overview of all Loop components across your Teams:

    For an overview of all Loop components across your Teams, you can use Microsoft Loop Workspaces:

    • Create a workspace from Loop App and add these components to it, enabling leadership to view all project-related Loops in a single location.

    Thank you, Sophia! Do you have any recommended resources on how Loop can be used to oversee the status of multiple projects if set up with their own individual Team? When I originally began setting this up, I reviewed quite a bit of online documentation and moved forward to organize under a single team with channels vs. multiple teams in the hopes of creating a single dashboard view for leadership to view projects.
