Teams Polls: Can Name Recording Be Default?

In Microsoft Teams, is there a setting that allows polls to automatically record the names of respondents without requiring the poll creator to manually select the 'Record names of respondents (only visible to creator)' checkbox each time? We plan to use Teams polling for our training programs, but relying on moderators to check this box for every poll introduces a risk of user error, which could affect our compliance.

    Currently, in Microsoft Forms or Microsoft Teams Polls, there is no default feature to display only one question at a time and allow the moderator to control the visibility of subsequent questions. Therefore, to achieve this, you may need to apply manual workarounds or use other tools to manage and control the questions.

    Hello Dustin,

    Thank you for your prompt response. Is there a way to configure forms so that only one question appears at a time, with moderator control over its visibility? We need to ensure that participants cannot see upcoming poll questions.

    Thank you for reaching out to us regarding the default name recording setting in Microsoft Teams Polls

    At present, Microsoft Teams requires poll creators to manually check the option “Record names of respondents (only visible to creator)” each time a poll is created. Unfortunately, there is currently no built-in option to set this as a default via user settings or admin policies. 

    However, to help minimize the risk of manual oversight, we would like to suggest two practical workarounds

    Option 1: Use Microsoft Forms to Create Polls 

    You can use Microsoft Forms to create polls and share the link directly in Teams. When selecting “Only people in my organization can respond,” Forms will automatically record respondents’ names without requiring any additional action from the poll creator. 

    How to do this: 

    1. Go to https://forms.office.com
    2. Create a new form with your desired questions
    3. Under “Settings,” select “Only people in my organization can respond”
    4. Share the form link in Teams

    This approach ensures that names are always captured and helps meet compliance requirements without relying on manual steps. 

    Option 2: Internal Guidelines for Moderators 

    If you prefer to continue using the built-in Polls feature in Teams, we recommend: 

    • Creating a standard operating procedure or checklist for moderators
    • Emphasizing the importance of always checking the “Record names of respondents” option before publishing a poll
    • Optionally, implementing an internal review or reminder process to ensure compliance

    If the above solutions do not meet your specific requirements, we recommend submitting a support ticket to Microsoft for further assistance. This will help escalate the issue to the appropriate product team.
