How to Turn Off Auto Filing Emails

I have a very organized folder system for Outlook. I also run a clean Inbox and typically will only have 1-5 emails in my inbox at a time: those are active emails that need to be addressed that day. The other day, I noticed that - without ANY rules being set up for it - my Outlook was automatically filing some emails away (in the folders I would normally put them) WITHOUT sending them to my Inbox. 

I hate this. I want to turn it off because I would rather SEE the emails come in to my inbox and manually file them myself. This auto-filing could make me miss an email, and I never want that to happen.

I can't figure out how to turn this off. Please help?


I can give you a brief description. For example, on Monday, I received an email from Sender A that was pertaining to a specific subject. Emails from Sender A with that specific subject matter are ALWAYS filed by me (manually) into Folder X as soon as I have read them. Folder X is a folder I created myself for these specific emails. However, on Monday, an email came from Sender A with that subject matter. The email never went to my inbox. Instead, Outlook automatically filed this email into the Folder X and I never saw it. The only reason I knew this email came in is because there was 1 unread email in Folder X. This is just one example of this happening, but I do not want this to happen because I like to read all of my emails before filing them.

    By unread I meant if the msg was received in MS Outlook, then moved by a rule its likely to be then shown as read.

    Have you checked the 365 on line admin that there is no rule in place?

    Does this issue apply only to specific sender or subject line?

    There is no rule in place.

    It doesn't only happen to a specific sender or subject line, just any message that "fits in" with the other messages in a given folder. The messages that are affected can be from completely different senders and can be completely different subject matter, going to different folders. But if a certain message would always be manually filed into a certain folder, then it has recently been auto-filed into that folder without coming through the inbox. This has happened with at least 3 different messages/folders, all unrelated to each other except that they are being affected by the same issue of being auto-filed.

    Thanks for your reply.

    Generally, each incoming message will sent to your Inbox folder. If you don't set any inbox rule, the message always list in Inbox folder. To double-confirm it, please go to the Rules > Manage Rules & Alerts to disable all rules there. And please login to the Outlook Web App (OWA) > Settings > Mail > Inbox and sweep rules to disable all rules there. Please let us know the result.

    Meanwhile, please tell us the detailed version of Outlook client to test it on our lab.

    Moreover, as you mentioned there are other users also meet this issue. Could you please provide us the effected email address to let us check it? For privacy concern, I have sent you a Private Message to collect it. You can open your community profile and then click View private message to access it.

    This is the desktop version of MS Outlook? and you are using an Exchange mail a/c?

    If the mail in this folder is shown as unread, its not being moved after receipt or by any rule

    Yes, this is the desktop version of MS Outlook. And correct, it is in the folder unread, and there are no rules set up to move. And this issue is not only happening to me. I have a colleague who is also very organized with his Outlook folders, and he is also experiencing the same issue.

    Thanks for posting the query in our form. According to your description, it seems that AutoArchive is turned on for your Inbox. Would you please help check it as the following steps show?

    1. Right click Inbox in the navigation pane's folder list, click the option Properties in the drop-down list.
    2. On the AotuArchive tab, please check the option Do not archive items in this folder.

    Here is picture for your reference.

    Thank you for responding. Auto-Archive is not turned on. It isn't archiving my messages at all, it is filing them away into folders I have made.
