Hi MS Team,

If the archive setting is disabled and there is no retention policies set in the organization, would the email messages stays in Outlook inbox?

How can we make sure that even the old messages will stay in the inbox and will not get deleted?

    The only thing I can think of is to periodically use Purview Content Search to search and export the entire mailbox(es) and download the PSTs to keep them in your own hard disks.

    Anything on the cloud storage can disappear at any time. I have been troubleshooting missing email in 1 of my users mailboxes. She lost the entire 3 to 4 years worth of email from her Sent and Inbox. No explanation why they disappear forever. There is no way recover them.

    Dear Christina Quito;

    Good day! Thank you for posting to Microsoft Community. We are happy to help you.

    Based on your description, I understand that you have a concern with "Retention policies and email archiving".

    Generally, if there is no retention policy set and no email archiving enabled in the office 365, all emails will remain in the inbox until it reaches its maximum quota or if someone move or delete them.

    The Exchange Online default MRM Policy for retention is created by Exchange. In Exchange Online, the policy is automatically applied to new users, however, there is no default tag to automatically delete things from the Deleted Items folder in the Default MRM Policy.

    If you have any other concern on this, please let me know and provide a more detailed description so we can provide you with more specific assistance. Thank you for your cooperation.
