I'm running out of room in my email, and I want to Archive old messages. I've done it once before with Microsoft Office, but the settings are different in 365 and I can't find what I need. Can anyone help?

    Hi Gail Impey,

    Good day.

As you mentioned "I can't do the online archive folder because I purchased office 365 through Go-Daddy", for this settings options, you may need to contact to GoDaddy support provider, because certain settings options on admin portal are different from their side, and they are managing Office 365 Business subscription from their side.

I would really appreciate your kind cooperation.

    Sincerely,
    Darpan

Thanks for your help. Unfortunately, I've discovered that I can't do the online archive folder because I purchased office 365 through Go-Daddy.

    Had to upgrade instead.

    Hi Gail Impey,

Thank you for sharing some information with me.

For your mentioned situation, I am guessing that you are using Office 365 Business Basic / Standard / Enterprise related exchange online mailbox account, if yes, to manage email and mailbox storage space, as Office 365 global admin may need to enable archive mailbox feature for your exchange online mailbox account. Because, after global admin turn on archive mailboxes, a user's current mailbox becomes their primary mailbox and an additional mailbox is created, called the archive mailbox.

Users can access and store messages in their archive mailboxes by using Outlook and Outlook on the web. Users can also move or copy messages between their primary mailbox and their archive mailbox. They can also recover deleted items from the Recoverable Items folder in their archive mailbox by using the Recover Deleted Items tool.

I will share below official article information more detailed reference for global admin:

Learn about archive mailboxes for Microsoft Purview - Microsoft Purview (compliance) | Microsoft Learn

Enable archive mailboxes for Microsoft 365 - Microsoft Purview (compliance) | Microsoft Learn

Manage email storage with online archive mailboxes - Microsoft Support

If I misunderstand anything wrong, please feel free to correct me. I will further assist you accordingly.

I will really appreciate your precious time and kind cooperation.

    Sincerely,

    Darpan

Hi, sorry I wasn't more specific.

At one time, when I was using Microsoft Office, I set "rules" to automatically archive messages that were over 2 years old, and they were sent to the local archive folder.

Since then, I've changed to Office 365, and I can't find those settings.

Now, I'd like to do that again, but if possible, store the archive folder on an external drive, or somewhere that won't use up mailbox storage.

If it can't be done automatically, I'd like to be able to move multiple messages (not one at a time) to an external drive .

I'm really maxed out for space, but I'm a designer, and need to keep messages from clients in case they come back to me with issues.
