Old signatures keeps appearing

Anonymous

Hi

When I compose a new mail an old signature always pops up. I start the mail empty but after a second or 2 the signature appears.

I've checked signatures, there empty on every device and on the web.

When I put in a test signature and then compose the mail the test is showing for 2 seconds before the old one replaces it.

All the files in the appdata folder are empty, I've unchecked save my settings in the cloud, there are no rules that change anything in text for a new mail.
I reïnstalled office, I made a new profile

I hope someone can help me here.

    Hello BBETS,

Thank you for posting this case in Microsoft Community!

As mentioned, old signatures keeps appearing in Outlook even replace new signatures automatically after 2 seconds. I would like to cooperate with you working on this case. To clarify this case, please kindly provide us your Outlook version with product details by going to Outlook > File > Office Account and share that entire page screenshot with hide personal information. What version of Outlook do I have?

To further analyze this case, please also provide following information:

    1. Are you using Microsoft 365 or Business account? If using Hotmail.com, Outlook.com, Live.com and so on?
    2. Have you tried to sign in Outlook Web if this issue still persists?
    3. Have you tried on different PC if getting the same case?

For my suggestion, you may try following workaround as shared:

    • Firstly, please go to Outlook Web>Click Gear icon on the top right of window**>Settings>Mail>Compose and reply>Email signature**. Please check if any default signatures set up there. You can test if working or not via Outlook Web.

    • If this issue only persists on Outlook for Windows, please try following workaround:

**A.**First check Cloud storage option in your Outlook client if enabled or not. If not, please disable this setting and restart Outlook to test if again.

**B.**If still not working, please also try to disable this option by Registry Editor.

**(Please note that:**This task contains steps that tell you how to modify the registry. However, serious problems might occur if you modify the registry incorrectly. Therefore, make sure that you follow these steps carefully. For added protection, back up the registry before you modify it. Then, you can restore the registry if a problem occurs.)

    Steps:

    1.Launch the RegEdit (Registry Editor).

    2.Browse to:*HKEY_CURRENT_USER\Software\Microsoft\Office\16.0\Outlook\Setup*

3.Right-click anywhere on the right panel, select New then select DWORD (32-bit) Value.

4.Enter the DWORD name as DisableRoamingSignaturesTemporaryToggle and press [Enter].

5.To edit the value, you can either right-click the DisableRoamingSignaturesTemporaryToggle and select Modify(or double-click DisableRoamingSignaturesTemporaryToggle.)

6.The Edit DWORD (32-bit) Value window is displayed > In Value data, enter the value 1.

7.Click OK to save the changes and close the window.

8.Restart Outlook for the change to take effect.

    C. Disable the Outlook roaming signatures feature via Group Policy (if group policy applied, if not, go to next step):

    Steps:

    1.Log into your Domain Controller.

    2.Open Group Policy Management:

3.Right-click the domain organizational unit and select Create a GPO in this domain and Link it here....

4.The New GPO window is displayed:

5.- In Name, enter the name of the new object as DisableOutlookRoamingSignature.

6.- Click OK to save the changes made, else click Cancel to close the window without creating the new object.

7.Right-click the new object and select Edit.

8.Now, from the Group Policy Management Editor, click User Configuration then click Preferences, then click Windows Settings then finally select Registry.

9.Right-click Registry, click New then select Registry Item, to create a new Registry.

    10.Enter the following settings:

    11.Action: Update

    12.Hive: HKEY_CURRENT_USER

    13.Key Path: Software\Microsoft\Office\16.0\Outlook\Setup\

    14.Value Name: DisableRoamingSignaturesTemporaryToggle

    15.Value Type: REG_DWORD

    16.**Value Data:**1

17.- Click Apply then OK to save the changes and close the window.

    • Click Cancel to close the window without saving the changes

**D.**After disable roaming option for signature, then please delete all old signature and use below PowerShell cmd

    **Command:**Get-MailboxMessageConfiguration ******@contoso.com

Please note that: The SignatureHtml and SignatureText parametersdon't work if the Outlook roaming signatures feature is enabled in your cloud-based organization.

After follow above all steps, if still same situation, now the only way to make these parameters work again is to open a support ticket.(You may contact Microsoft Technical Support Teamwith a ticket opened: Ways to contact support for business products - Admin help. Go to Office365 admin center>Support>New Service Request.)

If you need further assistance, please feel free to let me know, I will keep assisting you.

Your understanding and patience will be appreciated.

    Thank you!

As checked your output of MailboxMessageConfiguration via EXO Power Shell script, it seems that everything is normal and there are no other steps we can do now. And yes you please contact Microsoft Technical Support Teamfor further assistance with ticket opened as my previous email replied. This would be the most efficient way in handling this case for you.

    Hello BBETS,

Thank for your reply and sharing more information!

For Power shell cmdlet case, you may try following steps:

    1. Firstly, please make sure you have installed Exchange Online Powershell Module correctly. (Please Note: You need to run Windows Power shell as administrator firstly.)

You may check following Microsoft article:

    1. After you have connected to Exchange Online Power shell, please run following cmd with your Office 365 admin credentails.

    Command:

    Set-ExecutionPolicy RemoteSigned

    *Connect-ExchangeOnline -UserPrincipalName *****@contoso.com -ShowProgress $true

    *Get-MailboxMessageConfiguration *****@contoso.com

Article for reference : Get-MailboxMessageConfiguration (ExchangePowerShell) | Microsoft Learn and Set-MailboxMessageConfiguration (ExchangePowerShell) | Microsoft Learn

**Please Note:**If related attribute AutoAddSignatureand AutoAddSignatureOnReply is showing value as True, please run following cmd to disable them.

    Command:

    *Set-MailboxMessageConfiguration *****@contoso.com -AutoAddSignature $False

    *Set-MailboxMessageConfiguration *****@contoso.com -AutoAddSignatureOnReply $False

Since you have tried all my workaround, after doing above all steps, if still same situation, now the only way to make these parameters work again is to open a support ticket.(You may contact Microsoft Technical Support Teamwith a ticket opened: Ways to contact support for business products - Admin help. Go to Office365 admin center>Support>New Service Request.)

Your understanding and patience will be appreciated.

    Thank you!

    Hi Eleni

    Thank for your help

    1. The account is a Microsoft 365 business standard
    2. Yes I tried using Outlook Web, there the issues occurs aswell
    3. On a different PC the signature also changes

The workaround that you suggested with the "test" signature goes as following.

when you press "new mail" then the test signature is visible and after a second or 2 it changes to an old one and the test signature is completely gone in the message.

    A) is unchecked

    B) I did the registry steps

    C) no group policy

    D) When I try the command there comes an error message:

Get-MailboxMessageConfiguration : The term 'Get-MailMessageConfiguration' is not recognized as the name of a cmdlet, function, script file, or operable program. Check the spelling of the name, or if a path was included, verify that the path is correct and try again.
