Denied access to shared email box

I am trying to access the shared mailbox from Outlook App on my laptop. There is no bounce back email. Even when I change the 'From' section to the shared mailbox email address, it still sends the email from the primary mailbox and not the shared mailbox.

    Hi Eleni

thanks for your all your help provided. Unfortunately even if I add it on the outlook web account, I cannot see the main mail box. I should have my main mail box plus three more shared mail boxes to whom I have been given access. Although I log from the web account and I can add individually those shared mail boxes I cannot seem to then add them into my outlook app installed in my laptop.

    Any further advice?

    Dear Valeria Sgarlata,

Good Day and Thanks for posting in Microsoft community. Thank you for your Feedback.

Use this method if you want to view and manage the email for the shared mailbox in its own browser window. This method also lets you receive notifications of new items in the Inbox of the shared mailbox.

    1. Sign in to your account in Outlook on the web.
    2. On the Outlook on the web navigation bar, click your name. A list appears.
    3. Click Open another mailbox.
    4. Type the email address of the other mailbox that you want to open, and then click Open. Another Outlook on the web session opens in a separate window, allowing access to the other mailbox.

**Tip:**If you mistype the email address of the mailbox, the result is "No match was found". Try typing the email address again.

We would ask you to send video or screenshot about the entire process, so we can check the situation.

To protect privacy, kinldy provide screenshot/video in Private message.

Thank you so much for your precious time. Stay safe and healthy.

    Dear Heleni

Thank you for your response, however despite being given full permission to the shared mail box, I can receive emails but I cannot send emails. Also I would like to send the email not on behalf of but from my shared email address.

I have followed your steps but I am still denied the possibility to send an email. What's the next step?

    Dear Valeria Sgarlata,

Good Day and Thanks for posting in Microsoft community. It will be a pleasure working with you on this Issue.

There are a few possible reasons why you are denied access to the shared mailbox. Here are some steps you can try to fix this issue:

    • Make sure you have the correct permissions to access the shared mailbox. You need to have either Full Access and Send As or send on behalf permissions to use the shared mailbox. You can check your permissions by going to Outlook > Preferences > Accounts > More Options > Advanced and clicking Delegates. If you don’t see the shared mailbox listed there, you need to ask your admin to grant you the appropriate permissions. Full Access permission - allow to open shared mailbox in our outlook/OWA, also with full access permission, shared mailbox automatically added in our outlook. we no need to manually add account in outlook. for send email either Send As permissions or send on behalf permission required.
    • Make sure you have added the shared mailbox to your Outlook App. You can do this by going to Outlook > Preferences > Accounts > More Options > Advanced and clicking Add. Type the shared email address, such as ******@contoso.com, and click OK^1^. The shared mailbox should appear in your Folder pane in Outlook.
    • Make sure you have selected the shared mailbox as the sender when composing a new email. You can do this by clicking on the From field at the top of your message and choosing the shared email address from the drop-down list. If you don’t see the shared email address, choose Other email address and then type in the shared email address. The recipient of your email will see the shared email address as the sender, not your primary email address.
    • Try to restart your Outlook App and see if the problem persists. Sometimes, a simple restart can fix some issues with Outlook.

May I know how you added shared mailbox? is it automatically added or you manually add? Generally if you have full access permission and have automapping enable, shared mailbox added in outlook automatically.

You can use Outlook web app (outlook.office.com) and check if you are able to send email. If no issue from OWA side, kindly create new Outlook profile and check.

I hope this helps you access and use the shared mailbox in Outlook App on your laptop. If you have any other questions, please feel free to ask me

Thank you so much for your precious time. Stay safe and healthy.
