Create an Outlook rule for multiple phrases

Hi,

I am trying to create a Web Outlook rule to filter emails that contains any of multiple phrases and keywords in the email subject or body. If a specific email has any of the list of phrases/keywords, then I will move it to another folder.

Some questions:

  1. If I want to use OR in those multiple phrases/keywords , exactly filtering emails that contain any of those phrases or keywords, can I list all of them in a single rule or I have to create a rule for each specific keyword/phrase , like 20 different rules if I have 20 different keywords/phrases ?
  2. If I can list multiple keywords/phrases in a single rule, are they defaulted as AND or OR ?
  3. Which is the correct syntax for phrases in the 'Enter words to look for' field ? For example I am looking to filter emails that contain exactly the phrase "well ahead consensus" in the subject or body, should I syntax it as

a) well ahead consensus

b) 'well ahead consensus'

c) "well ahead consensus" (same syntax as I use in search)

  1. Why after I create the rule there is the Play button while most of my rules do not have it ? I assume the rule should automatically run as others or I have to manually every day press the Play button to make it run?

    Good day! Thank you for posting to Microsoft Community.

    To answer your question, you can list all the phrases/keywords in a single rule. You don't need to create a separate rule for each keyword/phrase. To do this, you can enter the phrases and press ENTER on your keyboard.

    Regarding AND/OR conditions, by default, the phrases/keywords values are treated as OR. This means that if any of the phrases/keywords are found in the email subject or body, the rule will be applied.

    Regarding the correct syntax, I have been testing the query from my side, based on my test result, to have the rule work properly and filter the specific phrase/keywords, you need to use as of the first option, which is well ahead consensus, without any quotation mark. This will ensure that the rule looks for the exact phrase well ahead consensus in the email subject or body.

    Regarding the Play button, the play button is used to manually run the rule. Since you are setting rule with move items to a different folder you have an option to run the rule manually. But may be for another rule they can't be run manually.

    Many thanks for getting back to me,

    To answer your question, the "Apply to All Messages" condition applies to all incoming messages or all emails in the Inbox folder. However, since you have already set up another filter for incoming emails, which is "Subject or Body Includes", Outlook will filter certain emails and apply rules when they meet the criteria. However, when you add the "Apply to All Messages" condition to an existing rule, it creates a rule condition conflict. As a result, Outlook will automatically remove this condition to avoid conflicts in the rules.

    Appreciate your help. I just created the rule using multiple phrases/keywords in 1 single rule and will test how it performs.

    Additional Question, do you know why it happens that I create in the rule the condition to 'Apply to all messages' , I move forward creating the rule but then when I go to see or edit the rule after that was created that condition to 'apply to all messages' is not there any more or disappeared ? Thank you.
