How to separate email addresses that I thought were being forwarded but they are linked

I have an outlook email (in Microsoft office if that makes a difference)

The trouble I am having is that I have my personal email address and also a business email which I thought was being forwarded into my personal email account, but it is in fact linked to my personal email.

I discovered this today while setting up a new laptop for another person coming into our business, thinking that they would only have access to the business email, but it appears that the business email account is linked to all of our email accounts (gmail, icloud, my partners etc). How do I separate the email addressed? I think I have set it up all wrong to begin with. I just need them to forward into my personal account not to be linked to it.

I hope you are not too confused by this question, because I know I am!!!

I look forward to your response

    Hello! JANNE-n

Thank you for posting in Microsoft Community

Certainly! Let’s untangle those linked email accounts in Outlook. Allow me to ask:

    • Are you referring to Aliases in your Microsoft account?
    • These email addresses that you are having trouble with, can I know what @domains are they?
    • May I know how do you access your emails? is it through Outlook.com (web)? Outlook application (included in Microsoft 365 subscription)? New Outlook for Windows? Classic Outlook for Windows (Windows Mail app)? Outlook application for mobiles?
      • What version and edition of Office do you have installed in your device? Example: Personal/Family/Enterprise?
        • You can open any Office apps
        • Go to File > Accounts - on the right side you can see Product Information
    • What error message are you getting?
    • Can you sign into your account in https://outlook.live.com/ ?

Here are the steps to separate them: Please note that this steps only works for Outlook 365 app.

    1. Open Outlook Desktop (part of Microsoft Office) on your computer.
    2. Click on the “File” tab in the top-left corner.
    3. Choose “Account Settings” and then select “Account Settings” again.
    4. You should see a window with your email accounts. Look for the accounts that are currently linked.
    5. Unlink the Inboxes:
      • On the lower-left corner of the window, click on “Settings.”
      • Select “Manage Accounts.”
      • Choose the option labeled “Linked Inbox.”
      • Click the “Unlink Inboxes” option (usually highlighted in red).
      • Finally, click “Save.”

To forward emails in Outlook.com, follow these steps: Turn on or off automatic forwarding in Outlook.com - Microsoft Support

    1. Log in to your Outlook account on the web app and navigate to your inbox folder.
    2. Find and open the email message you wish to forward. The reading pane will display the content of the email.
    3. Click the “Forward” button.
    4. Enter the email address of the recipient at the top.
    5. Add any additional comments or context if needed.
    6. Finally, click “Send” to forward the email.

If you want to set up automatic forwarding, here’s how:

    1. Click on the “Settings” icon (usually represented by a gear or a cogwheel) in the top-right corner.
    2. Select “Mail” and then choose “Forwarding”.
    3. If prompted, verify your identity (especially if two-step verification is enabled).
    4. To turn on forwarding, select “Enable forwarding”, enter the forwarding email address, and click “Save”.

This should separate your business email from your personal email, allowing them to forward independently into your personal account. If you encounter any issues or need further assistance, feel free to ask!

    I hope this helps!

    Thank you,

    Vince
