Outlook email organize.

Dear,

Actually, we are around 20 people and using one common email ID for our organization. We are receiving around 10 to 20 emails every minute. And not able to complete the task within a minute; as a result, a lot of emails remain unreplied. The consequences are some emails become untouch and unsolved by our organization. To escape from this challenge, we are seeking a sophisticated solution for those emails that have been received and have not been replied to yet from our side.

We have trialed some manual features but which were not efficiently worked.

  1. Email flag
  2. Schedule reminder/late
  3. Mark as unread
  4. Again, email checking.

Please advise if there is any good solution you have or if adding any add-on may assist in resolving this challenge.

    I understand that you are facing a challenge with managing your shared email inbox. You mentioned that you have tried some manual features, but they were not efficient. One solution that you can consider is using a shared mailbox in Outlook. A shared mailbox makes it easy for a group of people to monitor and send emails from a public email alias like ******@contoso.com. When a person in the group replies to a message sent to the shared mailbox, the email appears to be from the shared address, not from the individual user.

    Your Microsoft 365 admin needs to create the shared mailbox and add you as a member.

    After your admin has added you as a member of a shared mailbox, close and then restart Outlook. The shared mailbox should automatically appear in your Folder pane in Outlook.

    To send mail from the shared mailbox, choose New Email. If you don’t see the From field at the top of your message, choose Options > From. Click From in the message, and change to the shared email address. If you don’t see your shared email address, choose Other email address and then type in the shared email address. Finish typing your message and then choose Send.

    To reply to mail sent to the shared mailbox, open the email message you want to reply to. In the From field at the top of your message, you should see the name of your shared mailbox. If you don’t, choose the From dropdown box and choose your shared mailbox. Finish typing your message and then choose Send.
