Can I copy my Outlook 2011 for Mac emails to an external drive, then move them to a new computer?

This is actually my wife's problem. She got a new 2024 MacBook Air M2 chip, and subscribed to Office 365 for Mac (home and business I think). And is having an impossible time getting her Outlook 2011 for Mac emails to the new computer in their folders. She uses a POP account. She used Apple's Migration Assistant. The individual emails -- all 30,000 of them -- did appear in her new Outlook 365, but without their folders, and the folders are absolutely necessary to organize 30,000 emails. She's made no progress despite literally hours on the phone with Microsoft tech support -- I'm talking phone calls and chats lasting 2-6 hours at a time, at least 4 times in the last 10 days. Some of the techs seem not all that well-trained, and when they're speaking such heavily accented English it makes it all the more difficult. The tech she's currently talking to sent her a test email to the new computer and it never showed up. It's really stressful since the emails contain her personal and business dating back 15+ years.

So I'm wondering -- can she somehow copy these emails in their folders to an external drive, then import them into the new computer? If the folders don't make the transition, she could copy one folder at a time (we're talking at least 100 folders), import those emails into a newly created folder with the same name on the new computer. So far she's being told that POP emails can't be copied/saved/moved this way.

Thanks so much for your reply. After we follow those steps, how would we import the emails into Outlook 365 for Mac on the 2023 MacBook Air M2? Could you lay out those steps as well?

I ask because as I said in my original post, the MS tech support has not been able to show my wife how to do what seems to be a simple task -- migrate all her 2011 Outlook for Mac emails in their folders from her old Mac to her new one. Even though she's spent hours and hours on the phone with them (seriously, way more than 12 hours!).

    Dear slowthighs

Good day! Thank you for posting in the Microsoft Community. We'll be happy to help!

First of all, we regret for the inconvenience and inconvenience caused to your work. Based on your description, I have a general understanding of your question, to better help you, about how to export Outlook 2011 for Mac emails to an external drive, please kindly refer to following:

    • Step 1. Download and run MacMister OLM Migration Toolon any macOS.
    • Step 2. You can use Add File(s) button to add few OLM files on the tool or make use of Add Folder button to add the folder with the list of multiple OLM files on the software. Click Next.
    • Step 3. The software now starts listing the OLM files on the application pane with checkboxes. The checkbox will help users to proceed further by performing the necessary selection of the files that they need in an external drive. It is actually optional and can be used by those who want to transfer the specific OLM files instead of the entire list. Click Next to proceed.
    • Step 4. Through the Select Saving Options propertychoose the necessary saving option such as PDF.
    • Step 5. Now, there are multiple PDF options present. Set them as per the need and tap Export button to start the process.
    • Step 6. The process will immediately start and a Live Conversion Window will appear which will help in tracking the conversion status of OLM files.

As soon as the process is finished, users will receive a “Conversion Completed” pop-up window with the OK button that needs to be clicked to close the message. Now, you can transfer the resultant PDF files to external hard drive and protect your Outlook emails. However, there is no need to worry about your data originality because it will remain precise and intact throughout the process.

Meanwhile, if you still need further help, since we specialize in technical support for Microsoft 365 Business Exchange Online, which is not professional for the Outlook for Mac, in order to better help you and no longer waste your more time. I recommend that you ask for help from our dedicated team, where technical engineers specialize in these related issues, and experts will focus on inquiries to further assist you, for details, please kindly refer to: Contact support within Outlook for Mac
