How do I create a rule to reply to a specific email that meets certain criteria with a folder attached? Where should I store the folder?

Someone sends me a blank email with subject line "Ihelp". They will then receive an automatic reply with a folder and all the files located in it.

Example

In the edit rule description box:

Apply this rule after the message arrives

with 'I??' or 'Ihelp' in the subject

have server reply using Resources

and move it to the Ihelp folder

except if the subject contains 'Re:' or 'fw'

My Rule Actions do not include any options to Reply, only to Organize, Mark Message, or Route. I am using Outlook for the Web via my 365 subscription.

I'm creating a rule in Outlook O365 and need to "have server reply using a specific message" but am not finding this. Where can I find it?

I have the same problem. The "Reply using a specific template" doesn't exist.

    Hi,

I've created the rule but the template doesn't send when the email is received. I tried adding a second rule to ensure that the rule is seeing the specific words in the subject and the rule is able to forward the email of even forward the email as an attachment but it's not able to send the template email.

    Hello! Ryan_Rules

Thank you for posting in Microsoft Community

Certainly! Let’s set up a rule in Microsoft Outlook to automatically reply to specific emails with the subject line “Ihelp” and attach a folder containing files. Allow me to ask:

    • May I know how do you access your emails? is it through Outlook.com (web)? Outlook application (included in Microsoft 365 subscription)? New Outlook for Windows? Classic Outlook for Windows (Windows Mail app)? Outlook application for mobiles?
      • What version and edition of Office do you have installed in your device? Example: Personal/Family/Enterprise?
        • You can open any Office apps
        • Go to File > Accounts - on the right side you can see Product Information\
    • What error message are you getting?
    • Is this the first time you have created a rule for automatic replies for emails?

    Here are the steps:

    1. Open Outlook on your computer.
    2. Right-click an existing email message that meets the criteria (with the subject “Ihelp”).
    3. Select Rules > Create Rule.
    4. In the Create Rule dialog box, you’ll see various conditions. Let’s set up the rule based on your requirements:
      • Condition: Choose Subject contains and enter “I??” or “Ihelp”.
      • Action: Select Reply using a specific template and choose the template named Resources (you can create this template beforehand if it doesn’t exist).
      • Action: Choose Move the item to folder and select or create a new folder named Ihelp.
      • Exception: If the subject contains “Re:” or “fw”, leave the exception box unchecked.
    5. Click OK to save the rule.

Now, whenever someone sends you an email with the subject “Ihelp,” Outlook will automatically reply using the specified template and move the email to the Ihelp folder. The attached folder with its files will be included in the automatic reply.

We will also leave the thread open for any volunteer moderators to join in and share their opinion/suggestions to help you with your concern.

Remember to create the Resources template if you haven’t already. You can customize it with the necessary information and attachments for your automatic replies.

    I hope it helps!

    Thank you,

    Vince
