Can't Open Additional Mailbox in Outlook 365

I was given access to my boss's email account, but I'm not able to add it to Outlook. I am able to see his folder when I use Outlook Webmail - however, it doesn't show his folders like Deleted, Sent, etc. I was given full edit permission. He gave me permission in the webmail app, not sure if that makes a difference versus giving permissions in Outlook 365. He solely uses the webmail app, I solely use Outlook 365 on my desktop.

I can't add his account at all in Outlook 365. When I go to File > Account Settings > Account Settings > Change > More Settings > Advanced, the "Add..." under the Mailboxes section is grayed out. I'm not able to add the additional mailbox.

Even when I access his account in Outlook Webmail and send an email from his account, it still shows coming from me, not on behalf of him.

Here is the version of Outlook I am using: Microsoft® Outlook® for Microsoft 365 MSO (Version 2403 Build 16.0.17425.20070) 64-bit

I appreciate your help.

When I get to Advanced Settings > Mailboxes, the "Add..." button is grayed out, so I'm not able to add an email address. How do I fix that?

    Hello,

I understand your concern about not being able to open an additional mailbox in Outlook 365, even though you have been given full edit permissions. Let's try to troubleshoot and resolve this issue step by step:

Add Additional Mailbox in Outlook 365: Method 1: Add Mailbox via Account Settings Open Outlook and go to File > Account Settings > Account Settings. Select your email account and click on Change. Click on More Settings. Go to the Advanced tab and click on Add under the Mailboxes section. Enter the email address of the additional mailbox and click OK.

Method 2: Add Mailbox via Delegate Access Since you have full edit permissions given via the webmail app, you might need to set up delegate access in Outlook to access the additional mailbox.

Open Outlook and go to File > Account Settings > Account Settings. Select your email account and click on Change. Click on More Settings. Go to the Advanced tab and click on Add under the Mailboxes section. Enter the email address of the additional mailbox and click OK. Go to the Delegates tab and click on Add. Add the email address of the additional mailbox and set the permissions to Editor or Reviewer as required.

Method 3: Add Mailbox via Mail Settings Open Outlook and go to File > Account Settings > Account Settings. Select your email account and click on Change. Click on More Settings. Go to the Advanced tab and click on Add under the Mailboxes section. Enter the email address of the additional mailbox and click OK. Go to File > Open & Export > Other User's Folder. Enter the email address of the additional mailbox and select the folder you want to open.

Send Email on Behalf of Additional Mailbox:

Method 1: Send From Outlook After adding the additional mailbox, open a new email in Outlook. Click on Options > From. Select the email address of the additional mailbox from the drop-down list.

Method 2: Send From Webmail Since you mentioned that the emails sent from the additional mailbox via webmail show as coming from you, you might need to check the "Send As" or "Send on Behalf of" permissions in the webmail app.

Additional Tips: Check for Updates: Make sure your Outlook is updated to the latest version. Sometimes, updating Outlook can resolve compatibility issues. Restart Outlook: After making the changes, close and reopen Outlook to see if the changes take effect. These steps help you add and access the additional mailbox in Outlook 365 and send emails on behalf of the additional mailbox. If you continue to experience problems or need more help, please don't hesitate to let me know.

    Best Regards, Saurabh
