We have a team/shared mailbox, is there any tool that can monitor the number of e-mails we receive, the number in each specific folder and the oldest date etc?

I'm currently trying to day this by manually adding the numbers to sspreadsheet just now, but wondered if there was a way of automating it?

Thanks for that reply. I'm not familiar with Power Automate, is there anything in there that I can apply directly to my mailbox to analyse? Or does this need to be custom built, and if so is there any learning tools I can use to build this?

    Hi Stephen McLees,

    Good day.

Thank you for posting to the Microsoft Community. We are glad to assist.

Managing a shared mailbox efficiently is crucial for teams. There are several tools and methods you can use to monitor and analyze your shared mailbox activity. Let’s explore some options:

    EmailAnalytics:

    • EmailAnalytics is compatible with Outlook shared inboxes. It allows you to visualize your team’s email activity within the shared mailbox.
    • You can track metrics such as the number of emails received, response times, and busiest hours.
    • Sign up for a free trial to explore its features and automate your monitoring process.

    Built-in Features:

    • Some email platforms offer built-in features to share an inbox without third-party tools.
    • For example, in Microsoft 365 (Outlook), you can convert a shared mailbox to a regular mailbox and assign a license to it. Then, view email activity reports in the admin center.

Automated Flow in Microsoft Power Automate:

    • If you’re using Outlook, you can create a flow in Power Automate to count the number of emails (both read and unread) in a specific folder of your shared mailbox.
    • The flow can send you a daily email with the count of emails received that day.
    • While building the flow, ensure that it forwards only one email with the total count for the day.

Remember that each tool has its own features and limitations, so choose the one that best fits your team’s needs. By automating this process, you’ll save time and gain valuable insights into your shared mailbox activity

I hope this helps let me know if this is contrary to what you need, I would still be helpful to answer more of your questions .

    Best Regards
