Why are my emails being sent as protected emails and how do I turn it off?

I sent an email to a coworker and I got a response back from her asking me what I sent her. That she can't open it. I didn't understand why she could not open it until I looked further down the email chain to see it said that I had sent her a protected email. I did nothing that I know to encrypt the email or mark it protected. I tried to send her another email and it did the same thing. How do I turn this off?

Protected emails are typically sent with encryption or additional security features to protect sensitive information. This can happen due to various reasons such as organization-wide policies, email client settings, or specific email service configurations. Here are some common reasons and steps to turn off this protection:

    Possible Reasons for Protected Emails

    1. **Organization Policies**:
      • Your organization may have implemented policies that automatically encrypt emails.
    2. **Email Client Settings**:
      • Your email client (e.g., Outlook) may have settings enabled that protect emails by default.
    3. **Email Service Provider Settings**:
      • Your email service provider (e.g., Microsoft 365, Google Workspace) may have security settings that enforce email protection.
    4. **Add-ins or Extensions**:
      • Add-ins or extensions installed in your email client might be causing emails to be sent as protected.

How to Turn Off Protected Emails

    For Microsoft Outlook:

    1. **Turn off Encryption in Individual Emails**:
      • When composing an email, go to the Options tab.
      • Click on Encrypt and choose Do Not Forward or Encrypt-Only depending on your needs.
    2. **Change Default Settings**:
      • Open Outlook.
      • Go to File > Options.
      • In the Trust Center, click on Trust Center Settings.
      • Go to Email Security.
      • Under Encrypted email, uncheck options related to encryption or digital signatures.
    3. **Disable Organizational Policies**:
      • If you're in an organizational environment, you might need to contact your IT department to understand and potentially modify the policies that enforce email protection.

    For Microsoft 365 Admin Center:

    1. **Modify DLP (Data Loss Prevention) Policies**:
      • Log into the Microsoft 365 Admin Center.
      • Navigate to Compliance > Policies > Data Loss Prevention.
      • Review and edit policies that enforce encryption or protective measures on outgoing emails.
    2. **Remove Sensitivity Labels**:
      • Navigate to the Microsoft Purview compliance portal.
      • Go to Information protection > Labels.
      • Review and modify the sensitivity labels and their associated policies.

    For Google Workspace:

    1. **Turn Off Confidential Mode**:
      • When composing an email in Gmail, click on the Confidential Mode icon (a lock with a clock).
      • Set it to Off.
    2. **Check Admin Settings**:
      • If you’re an admin, log into the Google Admin console.
      • Go to Apps > Google Workspace > Gmail > User settings.
      • Review and adjust settings related to email protection.

    General Tips:

    • **Check for Add-ins**:
      • In your email client, check for any add-ins or extensions that might enforce email protection and disable them if not needed.
    • **Consult IT Support**:
      • If you’re part of an organization, reaching out to your IT support team can help identify and resolve the issue since they might have implemented specific security measures.

By following these steps, you should be able to turn off the protection on your emails and send them without encryption or other protective measures.
