Multiple problems using New Outlook for Mac

I have been using New Outlook for 6 months after overcoming many initial issues. These issues included: (1) inability to set up my email account, and (2) the loss of personal folders, so I had to revert to Legacy Outlook to restore them. I used the in-app Outlook Support for many weeks in mid-2023 who were always responsive but were frequently unable to solve the problems. After I permanently switched over the New Outlook, the software worked but features were unavailable, such as

the ability to customize the toolbar, the inability to mark messages as spam, a summary count of incoming email, and the ability to drag-and-drop received emails into my "On My Computer" personal folders. I still have to use the "Move" function in the toolbar to save emails in my personal folders, one year after New Outlook was forced upon my without any warning..

Problem 1: For the last two months, New Outlook frequently fails to send and receive. In-app Outlook Support recommends a "reset" in New Outlook to solve this problem (from the Tools menu--it is tricky to locate this function). This technique sometimes fails, and has to be repeated. When it succeeds, it results in duplicate receipt of messages, and other minor issues.

Is there a way to prevent this problem, or a better solution to it than a reset of New Outlook?

Problem 2: For the past month, New Outlook displays a message every time it is launched. The message says: "Delete data migrated from Legacy Outlook to free up space" and goes on to add that migrated data can be found in On My Computer. The message offers two options: an 'x' to temporarily remove the message, and "Delete" which will presumably delete the migrated data. If I click in "Delete" this will remove my personal folders, which I worked for weeks to restore after New Outlook was forced on me. It would be easy to click on the word "Delete" by mistake, rather than click on the 'x' -- which would be a catastrophe for me as my personal folders are very important to me. In-app Outlook Support cannot solve this issue. There is no way to prevent this message appearing, and Support cannot even tell me for certain what it means. They have referred the problem to Outlook's technical team to solve, and told me to continue to install the all-too-frequent updates. This of course will never happen, and I am presumably stuck with this message for as long as I continue to use New Outlook. If I revert to Legacy Outlook, I will lose my Personal folders, and surely it will not be available for much longer.

Can anyone suggest a solution to this problem?

    A: This may be due to the high level of mailbox security settings on your account.

    It requires frequent updating and downloading of credentials into your NEW OUTLOOK.

    Therefore, you can contact your mail carrier to ask if there is a feature to generate a separate password for a separate user application to log in to your mail account, which will keep you from receiving such alerts for a long time.

    In order for users to switch to an older version of Outlook, the MAC saves all the data files in the older version of Outlook, you can choose to delete the data files in the older version of Outlook if you are sure that you have backed up all your emails to a suitable location.

    The good news is that this will greatly free up your MAC disk space,

    The bad news is that you can't use the switch back to the old version of OUTLOOK to view the files in your previous OUTLOOK, please carefully consider and think about it.

    In any case, please make sure that you don't need the old version of OUTLOOK and have backed up your emails before you use this function.

    Thank you for the above reply to my query about Microsoft's New Outlook. To be frank, I am not able to understand the technicalities of your response, which probably has validity. However, your solution, to revert to "Classic" or "Legacy" Outlook, is not acceptable to me. I have only two problems with New Outlook, neither of which your reply addresses:

    (1) I want to know how to stop New Outlook failing to send and receive, other than by performing a "reset."

    (2) I want to remove on a permanent basis, the message to delete the data in On My Computer, which appears every time I launch New Outlook..

    Thank you for posting in the Microsoft community.

    I have read your question carefully and understand your dilemma in switching between NEW OUTLOOK and OUTLOOK Classic applications.

    In my personal experience, the biggest problem I've encountered is that files don't back up perfectly after switching to NEW OUTLOOK, and it doesn't export emails to be backed up individually like it does with OUTLOOK Classic. And as you said, there are all sorts of small problems with connecting to mailboxes and usage habits.

    I thought about it and decided to switch back to the old Outlook app, but then I realized that the emails from the last few weeks were not updated in time in the old Outlook app.

    As a technician I thought carefully about the difference in design logic between the two.

    NEW Outlook is more suitable for hotmail or outlook mailboxes with exchange protocol. It is synchronized with the server in both directions and there is almost no pressure to back up the mail.

    Outlook Classic is more suitable for your current use case.

    First of all, considering the problem of backing up emails in the future, the export function of Outlook Classic is obviously more suitable for backing up.

    Secondly, Outlook Classic is more compatible and less likely to have problems such as not being able to connect to the mail server.

    Thirdly, Outlook Classic has more complete counting and editing functions.

    I have thought carefully about your current dilemma. Since you have been using New Outlook for some time and have set up many classified folders, I would suggest that you try to distribute these classified mails to a new Outlook.com mailbox and then backup and classify them in this Outlook.com mailbox. After that, make sure the important data has been backed up and you can switch to the old version of OUTLOOK to continue to use it. At this point you can either configure your new OUTLOOK.COM mailbox using a Windows device, export your important folders and import them into the MAC OUTLOOK Classic application, or choose to use the Forward Mail method to transfer important mail to Classic Outlook.

    I realize how tedious and difficult these operations can be, but this is the best solution I could come up with after careful consideration of the differences between the NEW OUTLOOK and Classic OUTLOOK applications.

    I would also recommend that you continue to contact OUTLOOK online support team to help you further backup your mail, which is probably the most important thing you can do.

    In addition, you have been prompted that you need to delete the old version of OUTLOOK to free up space, this prompt is due to the limited disk space on your MAC device. However, if you do delete the old version of OUTLOOK, the mail structure on your old OUTLOOK will be deleted. Therefore, I suggest you to backup your important mail data anyway.

    The reason why I communicate with you so much is that I can feel the importance of your mail through your words. Personally, I would suggest you to backup your mails to PST file individually by year, and then clean up the mails in OUTLOOK regularly, because MAC system can not carry too much mail data by itself.
