When you look at the calendar on Outlook and you add someone else's calendar it can either show the word busy or the title of the event.

    Hi Tammy_D,

Thank you for reaching out about changing the default “Busy” status in Outlook 365. While there isn’t a direct option to set the default status to “Free” using the web-based interface.

As a Microsoft Technical Support Engineer,I’ll guide you through an alternative solution:

    1. *Hide Event Details*

    • You can adjust the status of individual calendar events by following these steps:
      • Right-click the specific event on your "calendar".
      • From the menu that appears, point at “Show As” and select the desired option (e.g., “Busy”).
    • This way, when someone views your calendar, they’ll see the event status without the event details.

    2. *Permissions and Organization Settings*

    • If you want to control how others view your calendar, consider adjusting permissions:
      • Right-click your "calendar folder" and choose “Properties.”
      • Go to the “Permissions” tab.
      • Select “My Organization” or “Default” from the Name list.
      • Change the Permissions Level to “Can view when I’m busy” or “Free/Busy time.”

Feel free to explore these options and let me know if you need further assistance .

    Dear Fee H,

Good day!, Thank you for reaching out to the Microsoft Community for assistance.

The "Show As" option may not appear for some calendar events due to several potential reasons.

    Here are some common scenarios:

    1. Ownership and Permissions
    • Owned Events: The "Show As" option usually appears for events you own or have created.
    • Shared Calendars: If the event is from a shared calendar where you have limited permissions, you may not be able to see or change the "Show As" status.
    1. Event Type
    • Recurring Events: For recurring events, changing the "Show As" status might not be available from the context menu if it requires a different interface to handle the recurrence settings.
    • Group Events: Events that belong to a group or a team might have different settings that limit the "Show As" option.
    1. Event Source
    • Imported Events: Events that are imported from other calendars or services might not have the same options as those created directly in Outlook.
    • External Invitations: If the event is an invitation from an external source, your permissions might not include changing the "Show As" status.
    1. Calendar Sync Issues
    • Synchronization: Occasionally, synchronization issues between different devices or calendar services might cause certain options to be temporarily unavailable.

We appreciate your patience and understanding. Please let us know if you have any further questions or need additional assistance.

    Sincerely,
    Microsoft Community Moderator

Relate to #1, why does "show as" appear when I right click on some calendar events and not on other calendar events?
