How to transfer all emails from an old outlook account to a new outlook account?

I have recently created a new Outlook email account and want to transfer all my emails from my old account to the new one. Additionally, I want to set up email forwarding on the old account so I don’t miss any important messages.

I followed instructions from a forum that advised opening Outlook, selecting "File," and then choosing "Export." However, the export option is greyed out and unavailable. I wonder if this is because I'm using a Mac. This seems like a straightforward and likely common task, yet I can't find a solution that doesn't involve a third-party application.

    Hi Julia Hamilton,

Thank you for using Microsoft products and posting in the community.

I realize that you want to transfer all emails from your old Outlook account to your new Outlook account, I understand how you feel and would love to help you!

I realize that you want to transfer all emails from your old Outlook account to your new Outlook account, I understand how you feel and would love to help you!

Transfer all emails from old account to new account:

    1. open new outlook
    2. Click on the [Gear] icon in the upper right corner to setup
    3. In [Settings] choose [General] > [Privacy and Data], click [Export Mailboxes]

This process may take up to 48 hours to complete, and when the copy is ready, you will receive an email containing a link to download the content from your mailbox.

If you are subscribed to 365, you can use classic outlook to import the copy, otherwise, new outlook does not support import operation for the time being.

Set up email forwarding on the old account:

    1. open new outlook
    2. Click the [Gear] icon in the upper right corner for settings
    3. in [Settings] select [Mail] > [Rules] > ‘+ Add New Rule’
    4. name the rule as ‘Forward mail to new address’; add the condition as ‘All mails’ (apply to all mails); add the action as ‘Forward to’, and fill in your new email address.
    5. Click [Save].

Alternatively, you can set up automatic forwarding.

Select [Mail] > [Forwarding]. Select [Enable Forwarding], enter the forwarding email address, and then select [Save].

Both of the above methods can be done to forward emails, besides, I need to remind you that all the emails that go into the spam folder can not be forwarded, and in order to avoid the problem that some emails may be synchronised or lost when forwarded, I additionally provide you a solution.

You can configure two mailboxes in new outlook, one is your new address mailbox, the other is your old mailbox, so that without forwarding, your old mailbox can receive future emails in outlook as well.

You can choose the right method according to your needs, if you have any questions in the process, please feel free to reply me!

Thank you for your patience and support. I hope that the above information is helpful to you.

    Have a nice day.

    Best regards

I have a PC and a new MAC. I went to the hassle of buying Office Pro 2024 for MAC and expected to be able to run both systems. The migration has been such a nightmare. I was given no choice about loading the new Outlook, even though it has no facility to import PST files. Their online information (the only way they will communicate) says to push the revert legacy Outlook; in their wisdom they've actually removed the facility. A helpful insider let me access a site where the legacy Outlook could be downloaded, so I uninstalled all the Office products as instructed, loaded the legacy Outlook, imported the PST files, then uninstalled the legacy Outlook and reinstalled Office 2024. Upon installation it asked if I wished to retain the legacy Outlook to which I said yes. All downloaded, I went into Outlook and thought - At Last I may be able to work. NO. I came out of Outlook and when I went back in without any warning it decided I was going on New Outlook whether I want it or not. No facility to retain the legacy product. It hasn't properly migrated either my Calendars or my Contacts and in reality it's a totally different program. It's like taking your car in for a regular service and being presented with a totally different vehicle when you go to collect. I will NEVER purchase another Microsoft product. Can anyone suggest a suite of products to run on a Mac that is designed by an honourable company?

    Dear all,

For the terrible solution of removing the Import/export from Outlook (NEW).

We were mowing from our own DC and Exchange to Office 365

I could not connect to the new Office 365 on Outlook OLD

i could only connect on the NEW but i only got the new emails!

So i got a PC not on the domain and then it was no problem connecting to the new Office365 in the OLD Outlook

and then i had all the Import/export tools and there i imported my PST file from the old Outlook and it all came into the new Outlook.

    Hope this helps someone.
