May I please know if you are using classic outlook for Windows with new build or the new Outlook for windows preview version?
If you are using a new outlook for windows, I do understand your query here, but export/import outlook file feature is not yet available in the new outlook. However, if you are using classic outlook, you can export your outlook email to Microsoft Excel or Comma Separate Value (CSV) to analyze the exported emails, kindly follow the steps below:
1. Export Emails from Outlook:
- Open Outlook and go to File > Open & Export > Import/Export.
- Choose Export to a file and click Next.
- Select Comma Separated Values (CSV) and click Next.
- Choose the email folder you want to export (download) and click Next.
- Select the location where you want to save the file and click Finish. For additional information, you can refer to Export emails, contacts, and calendar items to Outlook using a .pst file - Microsoft Support
2. Open the Exported File in Excel:
- Open Excel and go to File > Open.
- Navigate to the location where you saved the exported file and open it.
3. Analyze Your Emails:
- Once the file is open in Excel, you can use various Excel features like sorting, filtering, and pivot tables to analyze the types of emails.
However, if you want to download just small number of emails, you can use a copy and paste feature in classic outlook. To do this, hold ctrl key and click on emails to select, then right click -->Select Copy -->Open your Excel Sheet and paste. this will allow you to move the email from outlook to excel file.
