Delay Send Calendar Invite Request functionality.

Is there any way to schedule when a calendar invitation sends? I want to send out invites to my clients the week before the meeting required as it will often get lost in their email inbox.

I want to be able to create the meeting, add the participants, but not send the invitation until a specified later date.

I know it can be done with email messages in the Options > Delay Delivery. However I cannot find the function in the Calendar.

I think this is an extremely important option to be able to use.

Regards,

Dave

Thanks in advance!

Here is the best workaround I have found for this...

    1. Set up the meeting in your Outlook calendar (make it a Teams meeting if you want the link embedded) and invite yourself
    2. It will appear in your calendar only
    3. Then forward the calendar invite in an email to your desired attendees (right click and Forward from calendar view)
    4. Use the Options > Delay Delivery settings in the email to control the date/time that the invite will be forwarded.

I've discovered a work around. Forwarding a meeting can be delayed like any other email.

If you edit the subject line and body, it seems to look like a regular meeting, not a forwarded one, to the recipient. I have only tested by forwarding to myself so far. You will get the meeting forward notification.

    Dear David B69,

Good day! Thank you for posting to Microsoft Community. We are happy to help you.

Based on your description, I understand that you have a query "Delay Send Calendar Invite Request functionality."

After thorough research and consulting, you are right, there is currently no built-in feature in Classic Outlook for Windows that allows you to schedule when a calendar invitation sends. However, you can create the meeting, add the participants, and save it as a draft until you are ready to send it out. When you are ready to send the invitation, you can open the draft and click the "Send" button.

We apologize if we are not able to meet your requirements; however, thank you for bringing this to our attention, we will surely raise your concerns to our Product Team and hopefully this can be considered in the future updates.

Moreover, I would like to invite community members and MVPs in the forum to share their knowledge or any third-party workaround and insight on this topic. In the meantime, you may create an entry as a feature suggestion in the Feedback Portal at Outlook · Community (microsoft.com), Other users may vote it and make it more visible to the service team so that it may be considered for future upgrades.

For other concerns, please do not hesitate to add you post in the Microsoft Community Team.

Thank you for your cooperation and understanding.

This is an essential feature and actually is a failing on the part of microsoft to not have included it from the start in my view. Many busy people work "out of hours" BUT don't want to trouble their clients/colleagues with emails out of hours. The workaround as has been suggested is to create the invite with attendees but not send it until within working hours but this is inefficient because you have to remember to go back and do it or set yourself a task to remind you - lots of extra effort for something that really should be a standard feature. Also, for corporate users suggesting using third party apps is not helpful since IT departments don't allow the use of many such applications. Please can we get this bumped up the "to do list" at Microsoft :-)

Hi David thanks for asking this question before me, I dont hold out much hope for MS to devolop this feature as there are only four of us that have clicked the "have the same question" button! It makes sence though that you can do this in email, you should be able to do it in meeting invites which are once ready to go then then err, Emailed!

I will check back every decade........ All the best Alastair
