I am trying to share my outlook calendar to HTML website link. The only option I am able to select when publishing a calendar is "Can view when I'm busy". I want whoever has the HTML link to be able to see details of events on my calendar such as location, time, name, etc.

Can you please help me solve this?

    Hello WillH_169,

Good day! Thank you for reaching out to the Microsoft Community!

I understand that you are trying to share your Outlook calendar in a way that allows others to see detailed event information (like location, time, and event names) through an HTML link, but you're currently only able to publish it with the "Can view when I'm busy" option. Let me help guide you through this.

**Currently,**when you attempt to publish your calendar, the only option available is "Can view when I'm busy." This limitation can indeed be frustrating if you're looking to provide more comprehensive details about your events.
It looks like you’ve already navigated to the Shared Calendars section in your Outlook settings. This is definitely the right starting point, so you’re on the right track.

To better understand and investigate your issue, may I get some more detailed information from your side:

    1. Will you please share me your Outlook version details? Please follow this article What version of Outlook do I have? - Microsoft Support and follow the steps to check.
    2. Are you using Microsoft365 business account(@xxx.onmicrosoft.com/@yourdomain.com) or personal account (which is ended with outlook.com/hotmail.com/live.com/msn.com) or some other 3rd party pop/imap account?
    3. Have you consulted your IT admin (if applicable)?

To address this, here are the steps you can take to share your calendar with more detailed permissions:

    Publishing Your Calendar:

    • Navigate to the Calendar section in Outlook.
    • Click on Settings (the gear icon) and select View all Outlook settings.
    • Go to Calendar > Shared calendars.
    • Under Publish a calendar, choose the calendar you want to share and select the level of detail you wish to provide. The options typically include:
      • Can view titles and locations: This allows viewers to see the titles and locations of your events.
      • Can view all details: This option lets viewers see all information about your events.

    Sharing the HTML Link:

    • After publishing your calendar with the desired detail level, an HTML link will be generated.
    • Copy this link and share it with anyone who needs access. They will be able to view your calendar in a web browser.

Check for "Can View All Details" Option in Calendar Sharing Settings

    Open Outlook Calendar Settings:

    • Go to your Outlook web app.
    • Click on the Settings gear icon in the top-right corner.
    • Select View all Outlook settings at the bottom of the dropdown menu.
    • Go to Calendar > Shared calendars (as you have done already).

Attempt to Share with "Can View All Details":

    • In the Publish a calendar section, select the calendar you want to share from the dropdown menu.
    • See if you have a different option other than "Can view when I’m busy" by clicking on the dropdown menu next to it.
    • If available, choose Can view all details or Can view titles and locations (whichever option is closer to what you want).
    • Click Publish to generate the HTML and ICS links.

Note: If these options are not available, this may be due to restrictions set by your organization’s admin, and you’ll need to proceed with the next solutions or contact your IT admin.

Use Outlook Desktop Application to Share Calendar

If you have the Outlook desktop application (for Windows or Mac), this version sometimes provides more sharing flexibility.

    Open Outlook Desktop App:

    • Launch the Outlook desktop app and navigate to Calendar in the left pane.

    Select the Calendar to Share:

    • In the Calendar view, locate the calendar you want to share under My Calendars.
    • Right-click on the calendar and select Share > Calendar Permissions (or Properties > Permissions on some versions).

    Add Permissions for Detailed Viewing:

    • In the Permissions tab, click Add… and enter the email address of the person or group you want to share your calendar with.
    • Under Permission Level, select Can view all details (or Reviewer, depending on the options available).

    Send Sharing Invitation (Optional):

    • You can send a sharing invitation if you want, which will allow the recipient to view detailed information directly.

Generate ICS Link for More Flexible Sharing:

    • Alternatively, in the Home tab, you can click Calendar Permissions > Publish Online to get a sharable ICS link.

Note: Not all organizations allow ICS links to be published from the desktop app, but this is worth trying if it’s allowed by your IT admin.

Export Calendar as an ICS File for Manual Sharing

If detailed viewing options are restricted, you can still share detailed calendar information by exporting your calendar to an ICS file. Here’s how:

Export Calendar as ICS File (Outlook Web):

    • In your Outlook web calendar, select the Calendar settings.
    • Go to Shared calendars, but instead of publishing, look for Export calendar options if available (alternatively, do this from the desktop app if possible).

    Save the ICS File:

    • Choose the timeframe (e.g., 1 month, 1 year) and export your calendar.
    • Save the downloaded ICS file to your computer.

    Share the ICS File:

    • You can now share this ICS file directly with anyone you want to view your calendar details. The recipient can import it into their own calendar app, and it will include all details (titles, locations, times) based on what you exported.

    Contact IT Administrator for Permissions

If none of the above options work, it is possible that your organization’s admin has restricted detailed sharing. You might consider contacting your IT support and requesting the following:

    Request Permission Changes:

    • Ask if they can enable detailed calendar sharing for the Outlook web app or desktop app, specifically allowing the “Can view all details” option for published calendars.

    Alternative Sharing Options:

    • If your organization uses another calendar-sharing method (e.g., Microsoft Teams or SharePoint calendar), they might suggest alternative ways to achieve your goal.

If you're still unable to select the desired level of detail for sharing, consider these workarounds:

    • Direct Sharing via Email: Instead of publishing, you can share your calendar directly via email by selecting Share Calendar from the Home tab. Enter the email addresses of those you wish to share with and choose "Can view all details" if they are within your organization or have Outlook accounts.
    • Using ICS Links: If HTML sharing does not meet your needs, you can also provide an ICS link. This allows users to import your calendar into their own Outlook application. However, note that this method may not allow for real-time updates unless they subscribe to the calendar.

If these steps do not resolve the issue or if you're encountering any errors during this process, please let me know so I can assist you further!

Please understand that our initial response may not always resolve the issue immediately. However, with your help and more detailed information, we can work together to find a solution.

Appreciate your patience and understanding and thank you for your time and cooperation. Have a great day!

Let me know how it goes! Thank you for being part of the Microsoft Community.
