Can admins provide calendar access(to view all details) to a manager of one of their delegates, without the delegate knowing they have full access?

I know that an admin can provide access to say a manager of one of their subordinates, and view all of their details. If this is done, will the user know their calendar details have been shared with someone? Does this information populate the "sharing" permissions tab of their calendar or is it hidden?

Hello hockeyadc,

Thank you for reaching out to the Microsoft Community. My name is Raymond and I'm happy to help.

Yes, Microsoft admins can grant calendar access to a manager to view all details of a delegate's calendar without the delegate's knowledge. This can be done through the Microsoft 365 Admin Center or Exchange Admin Center.

Here's how:

  1. Go to the Microsoft 365 Admin Center or Exchange Admin Center.
  2. Navigate to the "Users" or "Recipients" section.
  3. Select the delegate's account.
  4. Click on "Calendar" or "Mailbox permissions".
  5. Add the manager's email address to the "Permission" list.
  6. Select the "Editor" or "Full Details" permission level.
  7. Click "Save" or "Apply".

This grants the manager full access to the delegate's calendar, including viewing all details, without notifying the delegate.

Keep in mind that it's essential to respect users' privacy and follow your organization's security policies when granting access permissions.

Please let me know if you need more assistance.

I do not see the Calendar options within the M365 Admin Center nor the Exchange Admin when clicking on the specific users.

In M365 Admin - I see a Mail tab and Mailbox permissions.

In the Exchange Admin - I see tabs for Delegation and Mailbox.

However, neither of those shows anything regarding Calendar permissions.

I don't want to add the manager as a mailbox delegate, as that would give them access to the user's email (like a shared mailbox). I would just like to give them access to the details of the calendar without the user having to manually share their calendar.

    Here's what I found.

    1. As the admin, you have to give yourself read/manage access.
    2. Access the user's outlook account in Web Outlook.
    3. Navigate to their calendar, right-click and select Sharing and Permissions
    4. Enter in the email of the manager who needs access and set the permission level. Then click Share.
    5. The manager will receive an email and accept the calendar invite.
    6. Finally, if you didn't want them to know their calendar was shared (somewhat secretly) you must delete the email from the user's sent folder and then from the deleted folder.
    7. Then remove delegate access from your admin account.

Time consuming for a simple permission.
