Dear Astrid Kovacs,

Good day!

Thank you for Replying to the Microsoft Community. We are glad to assist.

1. Email Client Configuration:

  • Ensure your email client is configured with the correct SMTP settings:
  • SMTP Server: smtp.office365.com
  • Port: 587 (TLS) or 25
  • Authentication: Enabled, with the correct email and password.
  • Send a test email to see if it goes through without errors.

2. Test Using Telnet:

  • Open Command Prompt (Windows) or Terminal (Mac).
  • Type telnet smtp.office365.com 587 and press Enter.
  • If connected, you’ll see a response from the server. Type QUIT to exit.
  • If you cannot connect, there may be network issues or firewall settings blocking the connection.

3. Check for Errors: If you encounter errors while sending emails, note the error codes/messages. Common SMTP errors can indicate specific issues with your configuration.

1. Rate Limiting:

  • Microsoft 365 has limits on the number of emails you can send daily and per minute. If you exceed these limits, your account might be temporarily blocked.
  • For standard accounts, you can typically send 500 emails per day; for some business plans, it may be higher. Monitor your sending rates.

2. Email Content: Ensure your emails do not contain spammy content or excessive links. Use clear subject lines and personalized content.

3. Verify SPF, DKIM, and DMARC: Double-check that your SPF, DKIM, and DMARC records are properly set up. Misconfigured records can lead to emails being marked as spam.

4. Monitor Sending Patterns: If you send many emails in a short time frame, it can trigger spam filters. Try to space out your sends.

5. Check Your Sending Reputation: Use tools like Microsoft’s Sender Score or other reputation checking services to see if your sending IP or domain has a bad reputation.

I hope the above information will be helpful. Please feel free to let me know if you have any other concern or if I get you wrong. Glad to assist you. We sincerely appreciate your patience and cooperation. Thanks for your precious time!

    Dear Astrid Kovacs,

    Good day!

Thank you for posting to the Microsoft Community. We are glad to assist.

Based on your post regarding "Do the SMTP settings for Microsoft 365 help boost email deliverability?". Yes, Improving email deliverability in Microsoft 365 can indeed be influenced by the correct SMTP settings and proper domain configurations. SMTP Settings for Microsoft 365 enhance deliverability:

    1. Use the Correct SMTP Server: Ensure you are using the appropriate SMTP server settings:

    • SMTP Serversmtp.office365.com
    • Port: 587 (or 25)
    • Encryption: TLS

    2. Authenticate with SMTP: Use valid credentials (username and password) for the email account you are sending from.

    3. Implement SPF, DKIM, and DMARC:

    • SPF (Sender Policy Framework): Ensure your SPF record includes Microsoft 365. This record should be added to your domain’s DNS settings.
    • DKIM (DomainKeys Identified Mail): Enable DKIM signing in the Microsoft 365 admin center.
    • DMARC (Domain-based Message Authentication, Reporting & Conformance): Set up a DMARC record to improve reporting and help protect against spoofing.

Custom Domain URLs: For adding custom domain URLs, you typically won’t “paste” these URLs directly in the Microsoft 365 admin center. Instead, ensure the following:

    1. Add Your Domain: Make sure your custom domain is added to your Microsoft 365 account.

    • Go to Admin Center > Setup > Domains and add your custom domains.

    2. DNS Configuration: Update your DNS records to include the necessary TXT, CNAME, and MX records for your custom domains.

    • This includes SPF, DKIM, and MX records specifically set up for Microsoft 365.

    3. Verify Domain Ownership: Follow the steps in the admin center to verify that you own the custom domains.
