It looks like you've encountered an issue where a meeting invitation was forwarded to colleagues, and when the meeting time was changed, the update did not automatically reflect for them. You're looking for a way to remove the old meeting and update it with the new time in their calendars.
(Also, there's an application named as Microsoft Agenda, would you please allow us to confirm the issue only relates to the Outlook's calendar?)
This can sometimes be a bit tricky, as forwarded meeting invitations are typically treated as separate calendar events for each recipient. When the meeting organizer changes the time, only those directly invited or updated by the organizer will receive the new details. Unfortunately, the forwarding action does not establish a direct link to the calendar entry for those recipients.
Whilethere isn't a way to automatically update forwarded meeting invitations in your colleagues' calendars, here’s a workaround:
- Delete the Forwarded Invitation: Since the meeting change does not propagate to your colleagues automatically, it may be necessary for them to remove the original forwarded invite from their calendars.
- Re-Forward the Updated Invitation: After removing the old meeting, ask the organizer (or you if you have the necessary permissions) to forward the updated meeting invitation. This will ensure the new time and details are reflected for your colleagues.
To make this process easier in the future, you might consider as below:
Ask the Organizer to Update Your Colleagues: The meeting organizer can send an updated invitation to everyone, including those you forwarded the invite to, which will automatically update the meeting time in everyone’s calendars. rather than forwarding it from your end. This way, they will receive the new details without any confusion.
Create a New Meeting Invitation: If it’s more urgent, consider creating a new meeting invitation and forwarding it to your colleagues directly with the new details.
