The issue you're experiencing with bullet points aligning differently for Gmail recipients likely stems from how Outlook formats emails by default. Outlook often uses Microsoft Word-based rendering for email composition, which can lead to inconsistencies in email formatting when viewed by other clients like Gmail.
Please follow the below:
1. Switch Email Format to HTML Plain Text
- Outlook sometimes embeds unnecessary formatting that Gmail doesn't interpret the same way. Use HTML format but avoid Word-style formatting.
- Go to File > Options > Mail.
- Under the Compose messages section, set Compose messages in this format to HTML.
2. Remove Complex Formatting
- Simplify the formatting in your emails to reduce compatibility issues.
- Avoid using custom bullet styles. Instead, use simple dot bullets (●) or hyphens (-) that Gmail can render consistently.
- After composing the email, before sending:
- Highlight the bulleted list.
- Right-click > Paragraph or Bullets and Numbering > Choose a simple default style.
3. Adjust Indentation and Spacing
- Ensure the bullet point alignment uses minimal indentation, which Gmail might be misinterpreting.
- Highlight the bullets in your email.
- Use Ctrl+Shift+M to remove additional formatting.
- Set the bullet alignment explicitly:
- Go to Paragraph settings (right-click on the bullets).
- Set Left indentation to 0 and Hanging indentation to around 0.25".
4. Test Sending in Plain Text
- Plain text emails are less visually rich but often render consistently across all email clients.
- Before sending the email, go to the Format Text tab in the ribbon.
- Select Plain Text as the format.
- Test sending it to a Gmail user.
5. Enable Compatibility Mode for Gmail
- To ensure that Gmail renders your emails correctly:
- Go to File > Options > Mail.
- Scroll down to Message format and check Reduce message size by removing formatting information not necessary to display the message.
6. If none of these options resolve the issue, you can manually compose bullet points in Notepad or another text editor, then copy them into Outlook. This approach removes any hidden formatting that may be causing inconsistencies.
