    Hi Joanna,

    Thank you for reaching out to Microsoft Community. 

    It appears you're looking to recall an email that was sent to a recipient outside your organization. I’d like to clarify that the email recall feature in Outlook is only available when both the sender and recipient are using Microsoft Exchange or Microsoft 365 within the same organization and are accessing their emails via the Outlook desktop application. 

    Unfortunately, once an email has been delivered to an external recipient (such as Gmail, Yahoo, or another company), it cannot be recalled or removed from their inbox. 

    Here's why and what you can do instead: 

    1. Why You Can't Recall External Emails

    Outlook's Recall feature only works if: 

    • Both sender and recipient use Microsoft Exchange or Microsoft 365 within the same organization.
    • The recipient hasn't read the email yet.
    • The recipient is using Outlook desktop app (not web or mobile).

    Once an email leaves your organization's server (e.g., to Gmail, Yahoo, or another company), you lose control over it. 

    1. What You Can Do Instead 
      1. Send a Follow-Up Email 
        • Apologize or clarify any incorrect information.
        • Politely ask the recipient to disregard the previous message.
      2. Use Email Delay in the Future 
        • Set a delay rule in Outlook to hold emails for a few minutes before sending.
        • This gives you time to catch mistakes.
        • How to set a delay:
          • Go to File > Manage Rules & Alerts
          • Create a new rule: “Apply rule on messages I send”
          • Add action: “defer delivery by a number of minutes”
            3. **Use Sensitivity Labels or Encryption**  
            
                For sensitive content, use Microsoft Purview or Outlook's built-in encryption to restrict access.
