Outlook meetings : I need the *opposite* of the 'shorten duration of all events* to build-in travel time.

Hi! I often need to block off my availability in the calendar in order to have time to travel to and back from an offsite meeting. See screen-shot I'm adding below. Is there a way to build it in automatically when I plan a meeting?

    Thank you for your update! Since you're already manually adding travel events, using templates can help streamline this process while ensuring consistency. 

    Ways to Use Templates for Travel Time Events: 

    1. Outlook Quick Steps (Windows Desktop Only) 

    A Quick Step allows you to create a pre-filled appointment template: 

    • Create a Quick Step:
    • Go to Home > Quick Steps > Create New.
    • In the Edit Quick Step dialog, set the Action to New Meeting or New Appointment.
    • Click Show Options to pre-fill details.
    • Define Template Content:
    • Name the Quick Step (e.g., "Travel Time Template").
    • Enter a placeholder subject ("Travel Time for Meeting").
    • Optionally, add a location or notes in the body (e.g., "Travel to/from meeting").
    • Save and Use:
    • Click Finish—your new Quick Step will now appear in the Ribbon.
    • When needed, click the Quick Step to auto-fill a new event and adjust details like date/time.

    2. Published Form Templates (Advanced Users) 

    For more customization, Outlook allows users to create personal form templates

    • Use Developer Tools to design an appointment with preset fields.
    • Save and publish it to your Personal Forms Library.
    • Later, go to New Items > More Items > Choose Form to open the template.

    3. Recurring Travel Event Templates 

    If you frequently travel to the same location on a regular schedule: 

    • Create a recurring appointment (e.g., "Travel to Office HQ" every Monday at 1:30 PM).
    • Set it as Busy so your schedule remains blocked.
    • Adjust individual occurrences when needed.

    Benefits and Limitations 

    Using templates ensures consistency in travel events—helping you save time and avoid scheduling conflicts. However, templates don’t automatically adjust for different travel durations, so you may need to make edits manually. Consider creating multiple templates (e.g., 15-min Travel vs. 30-min Travel) to account for variations. 

    Since Outlook does not natively support automatic travel time for meetings, you might consider using a third-party scheduling tool or Outlook add-in that integrates travel time management. These can provide more automation beyond manual templates.

    Thank you for your answer, Chris. If I understand correctly, the solution you offered is already the solution I use (in the screen shot example).

    Could you explain to me how I could use templates, please?
