Shape Data order and missing data

On my drawings I use a shape data set I created to assign rows of information to specific shapes.  I then have to use the Shape Sheet to organize the information utilizing the sort key- yeah I know it does a string sort. Once I make sure that the rows appear in the shape data window like I want, then I add the correct information to the appropriate row as need be.  Well when I save the drawing and open it up again, the shape data is out of order in the shape data window, information is missing, and some sort keys are also missing.  I correct the situation, save the file and then it happens again when I open the file.  What gives?

    Hi Derrick,

I am able to store Sort Order info with my Shape Data Sets when I create them, but I did notice one issue when testing this.  When you start with a shape from a Visio template which already has Shape Data fields assigned to it, they are (a) not removed when assigning new SD sets (known limitation), and (b) I lose Sort Order info with these.

Also, you don't mention whether you are using Developer Mode.  This is much easier to allow you to access all of the Shape Data properties without having to go into the SHapeSheet.  To turn on Developer Mode, go to Tools / Options / Advanced tab, and enable "Run in developer mode'.  This adds the extra properties / attributes to the Define Shape Data dialog, so that you can set the Sort Order more easily.

I find that it's a good practice to define a new Shape Data set using a shape that I've drawing (which has never had shape data at all previously).  Then I can create my Shape Data using the Define Shape Data dialog, including setting up Sort Order.  Then I can create a new Shape Data Set from that shape, and have all the expected attributes properly stored.

    Hope that helps!

    Barb
