Getting Appendix heading outline levels correct in the navigation pane and .pdf outputs

I used the following article to add appendix headings to my Word 2010 .docx document:

http://support.microsoft.com/kb/290953

I was able to add the appendix headings in the format and style I wanted as well have the appendices appear in the TOC at outline level 1.

However, my appendix headings do not appear with the correct indentation in the navigation pane.  They are indented with the default heading 6 indentation (I used style heading 6 for my appendices as recommended in article kb290953 above).  And this same incorrect indentation persists when I save my file as a .pdf and select "Create bookmarks using Headings."

What you are seeing is the  expected behavior in Word.  The main reason for using a heading style for appendix titles is to make use of autonumbering (such as headings, chapter-numbered pages and figures).  If you don't need autonumbering, you can use a user-defined appendix paragraph style with its paragraph outline level set to 1.  The style will show up in the  navigation bar aligned with your heading1s.  Without any intervention, it will show up in  a normal outline-level-based TOC.    I don't have Adobe PDF MAker and must leave it to you to test whether the  pdf bookmarks will be as you want them.

Open the Styles pane. For each of your special styles in turn,

right-click it and choose Modify; in the Modify dialog click the

Format button and choose Paragraph. In the Paragraph dialog, set an

Outline Level to reflect where that style sits in the heading

hierarchy. (The built-in styles Heading 1, Heading 2, and Heading 3

are assigned levels 1, 2, and 3. Your styles can have the same set of

levels, or some other arrangement.) The Nav pane will show the

headings with the special styles, with indentations according to the

    outline levels.

I disagree with the statement "Word's primary goal should be to put printed words on paper". I sincerely hope that in this day and age not everybody is going to print the hundreds or thousands pages of documentation we collectively produce every minute. Working in the IT business I am just now sitting in front of a platform documentation that I have to write. I hope nobody will ever actually print it on paper. And therefore I think, the navigation pane is essential in handling the document in a comfortable manner. I am faced with the very same problem described in this discussion. I will have to resort to putting the appendices under a regular section at level 1. So at least, they will show up at a reasonable place in the navigation pane.

To be fair, Charles didn't exactly say that it is Word's primary goal to put printed words on paper. What he said is that it was the design goal. Ok. Well. Then the use of the product has since grown past that goal and should be adapted to reflect common usage. I don't think this is the problem of a small number of highly complicated documents only.

    Dear Pam,

Thanks for your answer but your answer not exactly solves the problem. When I follow your suggestion, I could not give labels as I want to the Figures in Appendix A; for example; Figure A.1. BlaBla Graph.

I also tried using Heading 6,7,8,9 for appendices headings but this time, msword navigation pane shows levels incorrectly and also save as pdf with bookmark generation also produce wrong results..

    So, any other suggestions?
