Dear Community and Microsoft Techs
App in question today is Updates Teams App
Flow is quite confusing, so please read carefully
I am a developer and org's tenant administrator.
Help me identify problems' solution and confirm if it is current limited feature set or not.
It was brought to my attention by the team, and I have tested many scenarios in the last 3 days.
Use case and base setup:
- We have a development team setup in MS Teams - name Team Dev
Project Manager - team role - Owner
Product Owner - team role - Owner
Scrum Master - team role - Owner
Development team 4 - team role - each is a member
- MS Teams team was created from within the client (not Microsoft 365 group) as private team
- We want to use Updates app custom made template for reports submission (for this example lets take Digital StandUps)
- All users have full E3 licenses
- Updates app is installed in the team
- Updates app is added under the channel
- Updates app is pinned to all user's personal MS Teams space through the policy in Teams Admin Center
- Updates app is allowed in Teams through Teams Admin Center
Situation - let's say I am a Scrum Master:
- I go to Personal Pinned Tab - Updates
- Create a new template from scratch
- Under Workflow Settings I add 4 developers as submitters one by one
- Rest 3 one by one- Project Manager, Product Owner and Scrum Master - as viewers
We ended up with full team - Team Dev - added to Workflow Settings under custom created template for submissions, which means all of them should have access to this form created under Updates App
What works:
Under Personal Tab all submitters see the form and can submit with no trouble.
What does not work and problems:
1. Problem
- When one of the owners - Scrum Master or Product Owner goes into the channel to request the update from developers by typing @Updates into the text box custom created template will not show up nor the button to request the update. Only possibility you get is to start from blank or use prebuilt templates. Screenshot below:

Workaround for this one is to add Team Dev by its name as submitters - but then whole team are submitters and each one under Team Dev will have an option to call @Updates in text box and submit with no problems, but that is simply wrong. Custom template is set with reminders for every workday - Project Manager, Product Owner and Scrum Master do not need to submit and do not need those notifications every day. Anyhow, custom template shows up for submission and can be submitted and you see what you expect to see. Screenshot below

Adding submitters one by one by email into custom designed template or even prebuilt templates will not give access to submissions through messaging extension or Updates bot @ mention in the text box under the Team/Channel where Updates app is installed and allowed. Only having full Team Dev added by team name as submitters give possibility to Developers submit the report through text box under team's channel.
2. Problem:
Management - Project Manager, Product Owner, Scrum Master - do not have a possibility to request a submission. After being added as part of Team Dev as one as submitters, they see what they expect to see like on a second screenshot, but as soon as one presses "Request an Update" the standard prompt is displayed as shown on first screenshot right on the next step and only option is to start from scratch every time or use prebuilt template which in turn creates a new form in the background. If you would do it this way let's say 10 time and you would open Forms app through web you will find 10 newly created forms. Something is obviously not working properly.
3. Problem
I have created a custom template in Updates App that essentially creates a form in the background, but that form is read-only and cannot be edited. If you delete that from in Forms App that template will still exists under Updates App.
How to make those form editable and how to delete custom created templates which are not used anymore? What am I missing over here?
4. Problem
When using prebuilt template as a base for your own custom template, in the Forms app there will from created with some predefined naming in ex. "Teams app form" and you are not able to modify it and name will not be adjusted even if you change the name of the modified prebuilt template to something else. Moreover, if you modify the same prebuilt template for other variations, what you will get in the Forms app is "Teams app form (1)", "Teams app form (2)" etc. And well like mentioned in previous problem, these form are read only and there is no way I could find to make it editable.
How to solve this issue?
5. Problem
Funny enough, exactly same issues from 1. Problem and 2. Problem goes for Direct Chat with the developers - not possible to request or submit unless Team Dev is added to submitters as one or any other team for that matter.
Major questions:
Was Updates app released as sort of Preview/Beta testing?
Does the development of Updates App continue?
Are these issues legit or am I missing something and doing things completely wrong?
"It is not a bug it is a feature"?
Well, that was quite frustrating last 3 days to be honest, to the point where I was just raging.
NOTE: If any of the Microsoft Teams Developers/Updates App Developers will read it, could you please provide any feedback on these issues, please.
