We have a spread sheet which we back up regularly If I go into settings and files all I get is file open preferences'.

My work colleague is slightly different he gets a extra bit as to where to down load files to I have looked at all settings to turn this on but cant seem to get this to work,

Thanks

It sounds like your colleague has the ability to set a default download location for files, while you do not. This feature is likely controlled by a setting in the spreadsheet application you are using.

Here are a few things to check that may help you access the same setting:

    1. Check the application's settings or options menu. Look for a setting labeled "downloads," "file handling," or something similar.
    2. Check if you are signed in to the application with the same account as your colleague. Some settings may be specific to a particular account.
    3. Check for updates to the application, as new features are often added in updates.
    4. Check if you are using the latest version of the spreadsheet application
    5. Check if your colleague has a different version of the spreadsheet application than you.
    6. Check if your colleague has access to a feature that is not available to you.

    Hello there,

There is a high chance that your access rights are restricted only to viewing or editing and downloading might be restricted.

Click the File tab to access the Backstage view. Click Options. The Excel Options dialog box will appear. Select Save, check the box next to Save to Computer by default, then click OK and see if that helps.

Save a copy of a workbook to your computer https://support.microsoft.com/en-us/office/save-a-copy-of-a-workbook-to-your-computer-fbf8a97b-2c6d-4fe5-994d-06ed8e632051

Hope this resolves your Query !!
