What is best way to Journaling emails/Keep copy of all emails in or out of company

Hi,

Would like to know what is best way to keep Journaling of emails.

We need to copy every email received/send within the company for legal.

We received over 1TB of email data in an year

At the moment the way we do is that

  • we create new database
  • new user on that database
  • New rule to send all emails to above address

What is best way to do this?

    Hi @lalajee

    Are you using a mail flow rule to copy all emails to a mailbox?

    If yes, in Exchange on-premises and Exchange online there is a built-in journaling feature you can use.

    Exchange on-premises: Journaling in Exchange Server

    Exchange online: Journaling in Exchange Online

    Note that you can use a mailbox as journaling mailbox in Exchange on-premises but in Exchange online a Microsoft 365 or Office 365 mailbox can't be used as a journaling mailbox.
