Collect nominations then send email for voting

Hi - I plan to collect award nominations on a MS Form and append them into a MS List. Each month, I need to collect those nominations and send an email to about 40 managers for them to vote on their favorite. Their votes need to be consolidated and sent to directors for their vote. Does anyone have suggestions on how I might build a power automate flow for this? I need the email that is sent for voting to contain a person's name and a quick blurb about what they did. Then the leader clicks on a button to initiate their vote.

Thanks!

    Hi @Becky Brown ,

Yes, you can create a Power Automate flow to automate this process. Here are the steps you can follow:

Since you need to collect nominations every month, you can create a scheduled flow that runs once a month and sends an email to the managers.Screenshot of the options to set up a scheduled flow.

Start with a Microsoft Form to collect award nominations from your team. You can use the Microsoft Forms connector in Power Automate to add a form to a flow.

Use the SharePoint connector to create a list in SharePoint Online where you can store the award nominations. You can use the "Create item" action to add the form response to the list.

In the flow, use the "Get items" action to retrieve all the nominations from the SharePoint list for that month and include them in the email.

To send the email, you can use the Office 365 Outlook connector in Power Automate. Use the "Send an email" action to send the email to the managers. In the email body, you can include a quick blurb about what the person did and a link to "approve".

Once the managers received the email, they can click on the link to "approve". Use the "Respond to PowerApps or Flow" trigger in Power Automate to track their response.

After all votes have been collected, you can use the "Get items" action to retrieve all the nominations with their associated votes from the SharePoint list and consolidate them into a report.

Use the "Send an email" action in Power Automate to send the report to the directors for their vote.

Thanks! I follow until the email sent to the managers. Let's say there are 5 people that I want them to vote on. I need to send the manager the 5 names and 5 blurbs. I want them to pick 1 of the 5. Do they just 'approve' the one they want to vote for? Or do they need to 'approve' the one and 'deny' the other 4?

    Hi,

Sorry, I can't answer your question. In fact we are currently providing help on SharePoint in the Q&A forum, and Power Automate is a product independent of SharePoint which we are not so familiar with. Regarding the difference between these two methods which is more related to Flow.

I only understand the simple operations, about the specific implementation: we would recommend that you go to the forum dedicated to flow for more professional help, there will be very professional people to solve the problem for you quickly.
