Hello,

Within our organization, it is essential to have access to the email accounts of all our colleagues. In my Microsoft account, I can only link 5 Authentication App devices. However, given that we have more than 5 team members, I am inquiring whether it's feasible to grant access to more than 5 individuals using my account.

If extending access beyond this limit is not an option, I would appreciate it if you could suggest any alternative solutions.

Thank you.

    Hi @Bratley de Boon

    Welcome to our forum!

Please kindly understand that the Outlook tag here we mainly focus on general issues about Outlook desktop client and know little about Microsoft Authenticator. The following is for informational purposes only.

Based on the information I searched, an account can only set up Microsoft authenticator app on 5 different devices. As an alternative, you can use security information such as text messages, phone calls, or security keys as a method of two-step verification. You can log in to the Security info page here to set up: https://myaccount.microsoft.com/.

For more information about two-step verification, you can refer to: Sign in using two-step verification or security info - Microsoft Support.

You are correct in that you can only add up to 5 devices to your account. However there are a few alternative solutions that would allow you to provision more than 5 team members with access to the account for the purposes of two step verification.

    • Add a phone number: you can add a phone number to receive a text with the code as one additional method.
    • FIDO2 security key: you can set up a FIDO2 security key and that can be used to satisfy multi factor authentication without being tied to any team member's device.
    • Physical landline: you can install a physical landline at the office and receive the code using a voice call. That way whichever team member is in the office can pick up the phone and receive the code.
    • Multi-User Authenticator apps: There is a Multi-User Authenticator app, Salepager, that can be used to add more than 5 devices ensuring everyone everyone on the team is granted access.
