How should I configure Outlook so that it can download via POP3 the mail from a GMail account?

Hi @Balubeto Balubeto

To configure a Gmail account as a POP type account in Outlook, please follow these steps:

Start by logging in to your Gamil to change the settings. In the POP Download section, select either Enable POP for all mail or Enable POP for mail that arrives from now on.
On your Outlook email client, go to the File tab and click the button in the Add Account information section.
In the wizard that opens, click Manual Settings, and then click Next.
Enter the appropriate server port settings, as shown in the following tab.

I enabled the downloading from the POP3 Server of my E-mails and I configured OutLook in this way (see the attachment).

However, when OutLook tries to access the POP, it writes me that it was impossible to access it even though the Login is correct.

So where am I going wrong?

In order to better study this issue, please provide more details:

What does your error window look like?

Is your account a work or school account? If so, the server settings may be different. Also, Can your Gmail account log in normally on the web?

The error is the following:

The incoming server (POP) could not be accessed.

My account is a normal personal account and I can access my GMail account via the Web.

So now, what could I do?

Hi @Balubeto Balubeto

According to my research, you also need to enable two-step verification and then use App Password to configure your POP account. You do not need additional server settings, just enter the account name and APP Password to add successfully.

Log in to your Google account >Security>select 2-Step Verification>select App passwords>Enter any name to generate an APP Password> Go to Outlook to add an account. (Please note that the password entered is APP Password)

When you've added your account, please select the option below to sync your previous emails.

I enabled two-step verification but now I can't find the APP Password. How come?

Hi @Balubeto Balubeto

First click on the two-step verification, and then go to the two-step verification page and slide the mouse to the bottom of the APP Password. All click on the arrows to proceed to the next step. See figure below for details. The first time you add you need to enter an APP name (no requirements). Then click Create to generate an APP Password for Outlook to use when adding an account.

Now, Outlook can access GMail via POP3 but it only downloaded a small portion of the messages even though I had set GMail permission for Mail Clients to download all the messages. How come?

So, how should I ensure that Outlook downloads all the messages?

Hi

You try clicking on the Send/Receive All Folders option mentioned above to check if it works.

Also, based on user feedback, the following method applies:

Change "imap.gmail.com" and "smtp.gmail.com" to "imap.googlemail.com" and "smtp.googlemail.com"

Close Outlook

Restart the device.

Open Outlook again

I noticed that every time that I press the F9 key, Outlook downloads a few messages and that is all. How come?

So how do I download 18000 messages in one step?

The F9 key is a keyboard shortcut for sending and receiving messages from all accounts in Outlook. Did you check the above method to help you? Please try it out and if there are any updates, please feel free to post back.

Hi

The option Send/Receive All Folders synchronizes emails all at once. It could be that you have too many emails.

In addition, the option to keep a copy of POP3 e-mail messages on the server is affected so that you can access them on multiple devices.

If you're still having trouble, please follow the steps above to re-add your account.
