I have created an HTML rule for our emails' signature.

For example: if I sent an email from our domain to an external user you can find the signature attached at the bottom of the email and when the external user reply the signature will be there.

How come that our signature is attached to external user?

    Hello,

    Based on your description,

if I sent an email from our domain to an external user you can find the signature attached at the bottom of the email and when the external user reply the signature will be there. How come that our signature is attached to external user?

I would like to confirm that what you want to ask is why the signature is appended to the external user's reply, or is it some other issue? Please correct me if I understand it incorrectly.

In this case, the signature will actually be included as part of the message content. When an external user replies to an email, their email client automatically includes the entire email thread in their reply, including the signature. Therefore, its presence in the reply email is the expected behavior.

Additionally, it is recommended that you refer to this section of the documentation to add an exception that prevents multiple disclaimers from being added in an email conversation.

    Hi Wandi,

I knew the signature is part of my email that is why I mentioned why my email signature is showing twice.

For example, if i sent an email to your gmail or hotmail or yahoo or any other external email you will get my email with the signature which is normal behaviour but when you reply to my email my domain signature will be there as well.

Can you explain to me what is the wrong in my signature configuration lead to add my domain signature to recevied email please?

    Thank you Wandi,

Kindly note there are ONLY two active rules.

I create a rule with 6 hours duration. I will download the report once it ready and check what is going on. I usually open ticket on the Azure portal but Microsoft support team is taking ages to respond and when I call they ask for a lot of info then request me to raise a tcket.User's image
