Hi all

Currently the "Request Access" workflow template provided by purview has limited fields. We would like to add in additional fields when someone do a request. eg, purpose of request, how long they need to use the data. etc

Q1. Is it possible to add in additional fields to capture more information ?

Q2. Or is it possible to call a microsoft form to capture the information and then pass the information to the email to the data owner ?

Q1: As of my knowledge, the default "Request Access" workflow template provided in Purview is not customizable to add additional fields directly within the template. However, customization options might evolve as Purview continues to grow and develop. You may submit a feedback to the product team here: https://feedback.azure.com/forums/932437-azure-purview More and more such feedbacks will help the product team prioritize a feature.

Q2: While you cannot directly call a Microsoft Form within the Purview "Request Access" workflow, you can implement an alternative solution by creating a custom process outside of Purview:

Create a Microsoft Form to capture the required information, such as purpose of request, duration of data usage, and any other relevant details.

Share the link to this form with your data consumers.

Configure a Power Automate flow (formerly known as Microsoft Flow) to trigger upon form submission. This flow should gather the submitted information from the form, construct an email containing the captured information, and send it to the data owner for review and approval.

Instruct data consumers to use this custom Microsoft Form when requesting access to data assets found in the Purview catalog.

Please note that implementing this alternative solution requires managing processes outside the scope of Purview and coordinating user access requests manually. You will also need to ensure that users are aware of the new procedure and follow it accordingly.
